Dear Everyone, It has been my pleasure and an honor working with you all on the Archives Project. To all those I have worked with, I thank you for your contributions and your friendship. As of this date I resign my posistion in regards to the Texas Archives for the Panhandle Region. With over 48+ counties to contend with, it is not my desire as a volunteer to spend the time necessary in extracting data from archive directories that I personally believe should be supplied by those whom upload the files. This goodwill courtesy has always been done in any of the projects I have been associated with over the years. I have been a member of the Texas GenWeb since 96 and it has always been the uploading volunteers whom have sent this information to CC's and managers of databases. I believe that the Regional Managers are just as important of volunteers as those whom upload files. Lee/GentlePeople, I am currently using a DSL line for my ftp uploads. I create the needed directories on the server and do all the transfers with one script. The DSL link "definitely" will help anyone's performance over modem speeds. I can't tell you if it's the speed of the DSL or the automated ftp transfer scripts because I've never done the manual method over a slower link. How long does it take to transfer a years worth of death records for others?? Here's some of the times I'm seeing for various tasks: 1) Download one year's death records from state site: about 2 minutes 2) Manually load the raw text file into Access 2000: about 3 minutes 3) Run script to generate each county text file: about 2 hours, 15 minutes 4) Run script to generate ftp file transfer script: about 2 minutes 5) Run ftp script to transfer data: about 30 minutes As a side note, I've still got bugs and more automation to do. Like Phil, I'm having problems with some of the files NOT transferring automatically. I hope to figure that out. I'll manually move them to get them to their correct location. Out of the 2 years I just finished, there was maybe a dozen files that did not transfer for some reason. Hope this helps?? All the death records appear to be there. This is probably fine given that the 1969 and 1970 death records I just finished did not have any data in the omitted columns anyway. No secrets, but unless you've got a programming language understood (VB, Perl, PlSql, cshell, etc.) it can be cumbersome to learn it all on the fly. The simple answer is I've got a copy of WS_FTP (other FTP programs have this ability), it has a script editor in it that I use to send FTP commands, (see the snip-it below). The difficult problem is, in this case, I used VB within an Access 2000 module to generate all the code that went into the script file I used..... that is far more complex, but fun if you dabble in it like I do for a living. I'd love to share it, but with all the quick and dirty hard coding I did, it would be difficult to support folk using it "as is". I'm working with Lee to come up with some happy answers I hope we can share. There's definitely a great deal of time we can save this group if we automate this process just a little further. I'll do what I can to share as time permits. Truth is knowledge in my book, and I have no right to hide truth. I have a directory structure that is identical to the archives. I have a batch file that uses the XCOPY command with the /m parameter. This copies all files that have changed to my upload directory. I use WS_FTP. I select all the directories and it will upload everything. I then delete all the directories after the upload is done. You have to do this outside of WS_FTP because it will only delete empty directories. But for some reason it won't transfer 100% of the files. For instance on the 1940 births, I had to resend about 8 or 9 files that didn't make it. But 8 or 9 out of 254 isn't that bad. It saves me a lot of time. I can do something else while the files are uploading. I usually upload just before I quit for the night. So I use the time to get ready for bed. Or I can just go to bed and let it run. My connection will break off after 15 minutes of inactivity so I don't have to worry about turning if off. Gene

Gina/GentlePeople, Well your timing is good. I could use some help. :-) I finished creating the Vital Death records for all of the counties in Texas for the year 1969. About an hour ago I created the appropriate directories and ftp'd the files up to the server. Now what........? My questions and/or clarification I need help on is: 1) Should I create a single email for each county (250+) that would contain a separate link? I gathered that from the instructions. Or can I do it similar to how Tina did by listing multiple counties in one email. I can set it up to be done either way, but I'd prefer the multiple listings to one email if that's doable? 2) Also, exactly what would need to be in that email? Would everybody like to drop the requirements of posting all the URLs and files sizes of the birth, death, marriage and divorce records we upload? Would it be better if you just let us know that you have uploaded counties A-G death records for the years 1969? I know this list generates a lot of mail, and lot of folks get too much mail already. The idea of telling us the url and size of file on this list was to help us update the html TOCs- (table of contents) If it is ok with the regional files managers, who would have to go look up the URLs and file sizes, we can drop this.
