Teresa, a source citation consists of two parts. The Master source is the part of the source that never has to be typed in again that you see on the Lists, Master source list or on the Source citation screen labeled Master source, i.e. LDS microfilm, Book, etc. Any changes made in the Master source only has to be done once. >From your example of your Repository: Rutherford County, TN, Direct and Indirect Indexes to Trust Deeds S-A-D, 1955-1958, , S-M-R 1955-1961, S-S-Z 1955-1962, Roll 006, Tennessee State Library and Archives, Nashville, TN That would be your Master source Footnote. Master source name could be: Rutherford County, TN, Direct and Indirect Indexes to Trust Deeds Enter Short Footnote and Bibliography how you want them to print in reports. The Master source Footnote, Short Footnote, and Bibliography print in reports. The Masterr source name, Text and Comments prints only in the Source list report. So put anything you want to print about a source in the Footnote, reliability, pages that can't be read, etc. Source citation on Jane Doe's Edit person screen for the fact: Master source: Rutherford County, TN, Direct and Indirect Indexes to Trust Deeds Source detail: S-E-L 1955-1962, p. 234B, Jane Doe, accessed 1 Jan 2012 In the Details text, enter what ever notes that pertains to that specific person or family, These notes and comments can be printed in reports. . Source citation on Henry Smith's Edit person screen for the Census fact: Master source: AR, Sharp, Census, 1930, 1290011, LDS microfilm Source detail: S-S-Z 1955-1962, p. 377A, Henry Smith, accessed 30 Dec 2010 If you look at a predefined Source template at Lists, Source templates, in the right pane, the fields with the Y in the Citation column are the fields that are entered in the Source details. The fields with no Y are the fields entered into the Master source. The sentence templates prints a field whereever it is needed in the sentence for the report regardless of whether it is entered in the Master source or Source details. A Free form source prints the entries in the Master source Footnote, Short footnote, and Bibiography boxes and then the entry in the Page number box of the Source detail. To copy the source citation for Jane Doe, Memorize the source citation and Paste it where ever it is needed for another fact in Jane Doe's record or another person's fact. Any changes made to the Source details will need to be made to each place that Source citation is linked. Before making any major changes to your main database, create a new Play database and drag and drop your main database into it or copy the main database and give it a new name. Play around with different ways of entering sources, ToDo's including Task names, and Repositories and the different reports before making any major changes in the main database. ---------- From: "Teresa Elliott" <cheasa@bellsouth.net> Subject: Re: [RMagic] Repository questions Date: Wed, 19 Dec 2012 22:51:10 -0600 Susanne, What you are suggesting though is that for my 200 census sources, I retype the information about the microfilm into each source template in the location of the source. What I am saying is I want to enter that one time, and then link to it in each source type. What Tom is suggesting is I make the microfilm the source and then put the information about the household into the source details. But if I do that and cite that same household enumeration 40 times (which is not uncommon since I source every piece of information about the individuals) , then I am typing that data over and over again. Currently I enter the source information one time for each head of household, and one time for each roll of microfilm. I link them together as source and repository. If I find a typo in the microfilm information, I edit the repository and it fixes it for all two hundred sources. If I did it the way you suggest, then I'd have to edit 200 source templates. Then when I use the source, I don't use anything in the source details field except if I need notes specific to that one piece of data. I understand what you are both saying. What I want to do won't work, so I need another solution that will work. What I am asking is can the "Source comments" and "source text" fields be added to source templates and then printed? Some of my microfilm rolls have quite long names, and I do not think the location field would work. Obviously, I need for the information to print as part of a source citation. Here's an example of how one of my repositories prints currently: Rutherford County, TN, Direct and Indirect Indexes to Trust Deeds S-A-D 1955-1958, S-E-L 1955-1962, S-M-R 1955-1961, S-S-Z 1955-1962, Roll 006, Tennessee State Library and Archives, Nashville, TN So you can see why I would not want to have to retype that every time I found a deed on that roll of microfilm. :) During that time period, I had at least 7 living ancestors living in the county.
Thanks Laura, Not sure how I want to deal with it. Will probably create a new source level called microfilm and put them there. I prefer to only enter notes about a particular piece of data in the details text. Mainly want to use it on my phone, do not want to have to make major data changes. Currently I have about 5000 sources with around 1300 repositories. To change how I enter citations would mean years of cleanup that i have no desire to do. But thank you so much for the detailed information. When I do make the changes, I won't have to figure it out through trial and error.
