Our church has some really old documents that we need to copy and preserve. Can anyone tell me how we can do this? Is there someone that can do it for us? Libby Parker Florence, SC
Dear Libby, you have received good answers about talking to various folks who do archiving as a profession. I'd suggest you work with them, but also try a few things yourself. For example, you could scan in documents and see how that works. Or use a digital camera and take pictures of them. Then save the images (from the scanner or the camera) on a CD or DVD. I have done this with every document I have, and one copy of the CD is in a safe deposit box! When I need to add to it, I write two new ones, one for home and one for the safe deposit box. Now that I can write DVDs I'll switch to archiving on two of those. But every picture we've taken since we purchased our first digital camera is archived that way. I talked to someone about what sort of sleeves you can store documents in. Everyone I have talked to has said to use clear sleeves that say on the box they are for archival. Everything I have put in a sleeve I have also either scanned in or taken a photograph of or both. Since I live where there was a large forest fire that destroyed over 40,000 acres and 400 homes about 6.5 years ago, I am pretty paranoid about saving documents and pictures. Hi there, your state archival institution should be able to give you some guidance on this. In SC: http://www.state.sc.us/scdah/ If you send a question to the main library they should be able to direct you to the right people. At the very least they can suggest steps for you to take toward preservation, but they may also be able to guide you on possible grant money that might be available, and if the records are of interest for genie research they may even offer to help in exchange for being able to add digital or microfilm copies to their collection. You might want to check with your State archives. I imagine they do a lot of this sort of thing. Also, large universities with major holdings are a good bet.
