    2. Just wanted to let everyone know that we have secured the Shiloh Baptist Church fellowship hall for Saturday, May 29th. Sue, Maradee and I are working on the last of the details and additional information will be forthcoming. Keep the dates marked on your calendars. I showed my wife the copier that I wanted to buy with our tax refund--she didn't say no! :-) Looks like we'll have at least one available for the reunion. Our daughter, Ashley will be off to youth camp in Glorietta and Cherie has decided to visit her mom back in New Orleans that weekend. Gives me the who weekend to myself to enjoy the reunion to its fullest. Does anyone know Max Harrison Williams personally? Looking forward to meeting everyone. Roy

    3. Maradee and all: Maradee, Just send the file to me and I will put it with the registration page on the web. I will probably make it the introduction page. We do not want people to have to go to a lot of different web sites to get the information. I was planning on including a map but was waiting until we had reservations at a place first. It's great that you are already working on this. The flyer will need to contain the web site for the on-line registration and family group sheet. I know all of the local libraries in southern Arkansas have internet access for the public. If we could have a local place that people could pick up the printed out form (say at Shiloh and maybe some of the other churches it would be good (ANY VOLUNTEERS)). But, I do not think we (at least I do not) want to have to deal with mailing out packets. With postage and envelopes is will be over $1.00. So if people do not have web access and can't pick up a copy they can register on-site the day of the reunion. Since we are trying to collect accurate information the longer someone has to fill out the group sheet the better. I know that it took me over an hour to fill out and that was without including family stories etc. When everything is decided upon I will list the reunion on the LA reunion's page and make an announcement on the Union County Arkansas discussion list. FYI: so, far I have 10 responses from people who are planning to attend and while I account for 1 of those 10 I will be part of a family of 5. If the other 9 are similarly part of families we are already talking about 50 people! I have several cousin's that I have not told about the reunion yet but they will probably attend. So, any way we look at it we are probably looking at a group of at least 100 or more and that needs some planning. Tables and chairs (or instruct everyone to bring their own) and clean up after lunch are necessary. We have never been talking about anything elaborate. Union Parish is in the middle of the piney woods with a few small scattered houses, churches, and cemeteries. We can not assemble a large group without some planning. I do not think Roy or I were ever talking about a very formal event but we do need some organization. Before we start collecting money from people we have to have a plan, other than to just donate it to the local historical society. I know most churches charge a fee if you do not leave the place as you found it. We have to be sure that we can leave things as we found them and that we have an organized group representing the reunion to deal with problems as the arise. I think the next steps are to get one or more local volunteers who will reserve the church, distribute posters/flyers, etc. I'm sure that the person who reserves the church does not want to be personally responsible if something is broken or left in a mess. So before we only charge $5 we need to know if the church has a fee and if we have to pay their janitor for a certain number of hours. If no one volunteers to do clean up we may want to hire the janitor even if it is not required. Then we need to get several volunteers who are willing to be responsible for clean-up and several volunteers who are willing to trouble shoot the day of the event (there are always things that need to be done). We need someone who has a cell phone and who will be responsible safety. What if one of our 90+ relatives has problems dealing with the heat, or someone gets stung by a bee. As the reunion organizers we need to have a plan just in case. The last reunion I attended someone did have a heart attach, the church did not have an accessible phone but some one did have a CB radio and called for help. We may want to sell cold drinks. I know several of us can buy drinks at SAM's but here in Dallas I can get Coke for $1.99 a 12 pack when it is on sale. I do not mind buying a bunch if someone will volunteer to bring a cooler, get ice the morning of the reunion and be responsible for selling the drinks (with profits to go to our local benefactor or the event). While we may be able to do some copying with that many people it is more realistic that we share contact information and get to know individuals who have information that we would like to exchange with. The copies can be exchanged through the mail at a latter time. If everything is well planned it will seem like a simple reunion, if it is not we will have a unorganized mess. I have dealt with many events and the ones that go off the smoothest are the ones that have the most planning. Simple is good but it need to be planned and we can not have to many volunteers. Ideally if everyone who attends has a small job to do no one or two individuals will have to work the whole time.     3. Hello all-- Am inclined to agree with Betty Jo and Jerry. If we all just show up pretty early on May 31 at Shiloh [where is that???] at a specified time and all bring our family group sheets, photos, Bible records, courthouse documents, etc., we'd get lots of swapping done. Perhaps we could all just bring our colas or tea and lunch, be it home-made or from the nearest McDonald's or the local sandwich/ chicken / or barbecue place. Spend most of our time visiting and swapping info and even swapping lunch if you find someone who'll agree to that. I agree we'll need to arrange for copiers and donate money for paper and replacement cartridges. Roy, I'm just thinking out loud. Not trying to say we need NO organization.     3. I have the registration form ready except for the place and times. We finally sold our house and moved into the new one on January 30. I have been very busy unpacking boxes and fixing things and I seem to have come down with the flu this week. I think Roy's idea of a committee to make the little decisions was a good one but we can all just do it over the web. If we are going to have the reunion at the end of May we need to get things firmed up and start advertising. If not we need to move the date to the fall. Lets get an idea of how many individuals from the list are planning on attending. Send me a message to: [email protected] with the subject line UnionReunion with your name in the body of the message and what you are willing to volunteer to do if anything I will compile all the responses and post the complete list to this discussion list.     3. To all, I completely agree with Jerry. Paul and I are planning to drive from CA; the good Lord and our little car willing. We don't know what our schedule will be, and don't know a thing about Union Parish. While we would be glad to dive in and help where ever we can while there, we would hate to make a committment that we couldn't keep. At the same time, I know what it's like to shoulder all the responsiblility for a structured event... and would hate to see that happen to my newly acquired friends! So, we planning on be there the last weekend of May... but BE KIND TO YOURSELVES... we don't need a lot of structure... just a chance to meet friends and exchange research and family tradition. BJ PS... Believe Sally (Addie Mae Hale) is offline for awhile... but she is looking forward to being there also!!!

    2. Looks like there's enough interest to move forward. Does someone have the name and phone number for Shiloh's pastor? I need it to call and reserve the fellowship hall. I've met him but don't recall his name and would rather not address him as "hey you" (grins). Structure will be simple. Agenda Saturday, May 29th Registration begins 9:30 a.m. 10:00 - 12:00 General meeting, swapping of information 12:00 Potluck luncheon 1:00 - 1:30 Guest speaker 2:00 - 5:00 General meeting, swapping of information (note: Those who can volunteer to help with registration/sign in/setup in should plan to arrive about 8:30 a.m.) Sunday, May 30th 1:00 Cemetery tour begins. List to be decided, starting point to be announced. (Any volunteers to set the schedule, route(s)?) I've got a nice map that shows locations and plan to spruce it up and make copies available. Can someone go to the Bernice Museum and get me a handful of brochures on area attractions, etc. and mail them to me asap? My snail mail address is 7342 Hazel Cove Drive, Houston, TX 77095. We'll have potluck; that way no one has to worry about meeting with a caterer, having meals brought in, etc. I'm pushing to have my wife let go of a few nickels so that I can purchase a personal copier. If they don't have access to the internet, perhaps you can volunteer to pull down the registration form for them. Maradee, we need to prepare a flyer that announces the date, how to get to the church, tentative agenda, and registration information. Do you still have the time to work on one? I would like to have it mailed to each of the genealogy societies in Louisiana and most of the area libraries. I'll start working on a list. We can also mail to non-rootsweb individuals.     3. Roy, I'm rather new to the list and have been lurking in the background hoping to run across another Lowery researcher. So far, no luck but I have followed with interest the discussion regarding a reunion of Union Parish researchers and have mentally planned to attend, when and if it comes off. Living two states away and being almost completely unfamiliar with Union Parish I have not jumped up to volunteer my services and, quite frankly, do not know what needs to be done. In reading some of the recent posts, it appears that I am not alone. Under the circumstances, may I make a couple of comments? Is it possible to plan and present such an event completely over the Internet? Do do we need a highly structured event for a first attempt? What if we just set a time and date (and the ones already suggested are fine with me), let everbody interested take the responsibility for publicizing the event to friends and relatives, let each one be responsible for his or her own food and lodging, ask everyone to bring their Union Parish genealogy files and photos, find one local volunteer to make the reservations for a meeting place and stand back and see what happens. If it flies, we will have a good basis for planning in the future. If it bombs, we'll know better than to try it again. My wife and I are planning a trip to Union Parish that weekend, regardless. On my own I can spend some time at the library and courthouse and I can tour the cemeteries where my ancestors are buried. This can be done with or without the reunion, but I feel that meeting other list members and Union Parish researchers will add so much to the trip. Jerry Lowery

    3. Hi all. I am planning on coming. I live in the bottom of the state, so I am not close enough to physically help with anything. I do plan to bring "stuff" to share with anyone who wants it and I am close enough that I can cart food up there if we see a need for that. The LaGenWeb Archives eats up most of my time, so I would not be able to do much else other than come. BTW, Jim Ballard sent me another goodie that I will load into the Union archives this morning.
