Dr Bob, thank you for this query.... the Library is indeed interested in information from people on the list but we have to remember that they are singular and we are PLURAL so we have to deal with a funnel effect... perhaps this will be a good guide for you and others.... Their preference (I have checked into this already at an earlier time) on compiled information regarding genealogy, is to take it on paper.... there is a concern about electronic material being taken from their website and then republished on other genealogy forums - for fee and not - and perhaps diluting the accuracy of the material as well as taking control of it from them (and you) . In this 'paper' version, you would only have to 'recall' it and they could remove the book (or books which they may have reproduced to act as backup). There are other concerns too..... does your material show people that are still living, personal information inside the 1930 federal rule, addresses and data of minor children - especially those outside of YOUR immediate family - etc etc The library is really not geared up to handle all the different genealogy softwares that exist and the 'modifications' that might need to be done on gedcoms once they are downloaded. They are very much geared up to take a document, clearly page numbered, clearly titled, authored and dated and ready to catalog, just as if it was a published book. A lot of time and effort does go into this...and many folks FORGET that gedcoms are the INFO not the extraneous BOOK components... gee wouldn't you like to put in a page for a dedication?. I have, myself, seen examples of information sent which needs a lot of 'PUBLISHER' work before the material could ever be put on a shelf... The library is just not prepared to do the work of a publisher. So, if the only thing YOUR book needs is a verbatim printing off a CD, then and only then do I think they would take it... Ideally in a WORD format so that staff could if they had to, make minor adjustments. BEST is via a CD and the US Mail, so that they have YOUR disk from YOU which will give them (in effect) a release to use the material and which also gives them an archival copy. DO not mix things on the CD... ONE book per CD so that the single CD can be archived correctly.... In addition, believe they would like to have a letter releasing the material from you to them for their Illinois Collection; the address below. They would then, likely print out the document and catalog it and on the shelf it would be for others to reference. I do not believe that these documents will be candidates for circulation. However, if the material is a single photo or a document, I know that they will take that as a scanned document but only if there is identification and dating, etc along with the photo... (one email per document, so that each email can be handled individually and perhaps by different people, depending on the content). LIBRARY: I will check and report on the eaddy to use for this... i suspect that there is one similar to.... [email protected] but i am not quite sure what the exact addy is... i will check and post....
