Subject: copy and paste into WORD -standardizing document howtos the other day -ON ANOTHER LIST - someone asked about why it was taking so long for a copy/paste to a WORD document... a few more comments about when your document starts to slow down..... ..... CLICK the BACKWARDS P in the toolbar to see all the EXTRA CONTROL CHARACTERS..... 1. if you are copying a lot of pics to that document, perhaps mostly pics, you will start to notice a slow down at about page 20..... 2. I actually do not fill the document to more than 20-221 22 pages. This is because it DOES slow down, even if you are only adding a few text lines... and 3. because by the time you get to 20some pages, you will also be nearing the magical 2000kb which is what many email programs will not send nor receive.... (actually try to keep it a tad smaller so that your text note can make up the difference to the 2000mark 4. One of the things that i have found that speeds things up is clearing up the format of the document as you near the 2000 capacity.... 5. I standardize all the text (naturally if you want to keep the format/font etc of a specific clip you would put that one in its own document) to arial (which i can read) at a 10 or less size....(use something that is different than the document that you MIGHT later paste this into (so it stands out and so you can merely put quotes around it) 6. UnBOLD the entire document...(control+A and then click BOLDicon or CONTROL+B which might BOLD everything so then do these actions again and you will be UNbold... 7. UNCOLOR the entire document (you can do this with clicking on Format - font - and then in the color to BLACK....(if ou do go this way, you can do #5 above at the same time...) 8. SINGLE the lines...(go to format...click paragraph, click line space to SINGLE and then over to the left of that put in 0 and 0 in the two buckets.....this will get rid of that 1.5 line that hangs around even though you said SINGLE!. Note: Now each time you do one of these and end up with a result, do a COntrol+S....these might take some time, but just a little less each time.... 9. Now do a Control+F REPLACE all of the manual line breaks...(this is that little arrow mark at the end of the lines.....please note, if you have in the text a list of numbered steps, you must FIRST place HARD lineBREAKS (that is your ENTER KEY) at the front(above) of each of those itemized entries... - ditto with a. b. c. or - - - - that you may have placed to show a LIST...) TO do this manual line break, click the Replace tab....click the FIND WHAT space, scroll to MORE and click, then Special and click, then scroll and click on manual line break, then scroll to the REPLACE WITH and put in at least ONE blank space. ( a note here... this REPLACE WITH does not always erase from previous replace actions...ALWAYS without fail go to this REPLACEWITH and fill it with what you want.... 10. Now with COntrol+F do a REPLACE of all the < and the > .....(use REPLACE ALL and let it rip) 11. and the last thing I do - and this is a resourceHOG and so does take time for the system is to get rid of all those little degree marks that you can see with the characters are shown, but which do not appear in print......BUT THEY DO slow down your machine.... TO do this...go to the document and find one of those little degree marks and highlight just IT - nothing else now - just it and do a copy/paste into the FIND WHAT space.....(it will appear as a blank....) then go to REPLACE WITH space and make sure that you have but a single space in there... and click REPLACE ALL.... the system will take a bunch of time on this... (i kinda think as it is crankin that i wont have to wait for the machine to go thru the document again looking for thes with each save or load....so it is time i will save in the future....) 12 If as you do these replaces you get a message to you want to continue, respond yes (unless of course you are only doing a replace of a selected passage - which you can do... you do not have to do the entire document...... and then wait until the system responds that it is done and do your save... 13. In all these instances, if things do not look acceptable, that UNDO button works...so look with each change.... too many BIG replaces are never guaranteed to UNDO...depends on your machine and memory.... so LOOK and confirm and SAVE.....(regular saves help your machine too... kinda like erasing the board and starting over.... do it often.... If you notice the page count when you started and when you finished you will see a difference..... and the 11th point will really help in the speed of the document works.....you might think this is a big bother.... or that it is a lot of stuff but it really isnt... it goes fast and as you do it more frequently, you will find that you WANT to do it... to me, nothing is nicer than a standard but in the long run, the document works faster..... When your copy/paste does start to slow, I know that i need to open another document to add more.....and then consider this one FULL...(I know, opening another one... such a bother...but really it takes but a few minutes......click on that NEW document icon...in the very first position type the name of the document that you will be calling it, don a SAVEAS and the name will already be put in the doc-title bucket....you only have to define what FILE you want it to be in.... I actually have a lot of these in reserve...i create a bunch of them at one sitting, perhaps 10 and then when i need another to fill, i pull up the next one..in this way, they fit a standard, all in order in the files.... with the sequence of the document noted... like so 0miscINTERNETclips1 0miscINTERNETclips2 0miscINTERNETclips3 I use the 0/zero to denote a file of data that is from other sources... something which will be a reference file... If you download a lot of stuff outside of WORD, be sure to do regular defrags and reorg your machine.... its closet is probably overflowing and need to be cleaned up and organized.... hope this helps... valentine
