The Glamorgan mailing list is available in two formats - individual messages, and a Digest which is sent out once a day (if any messages have come in) or earlier if messages totalling 30kb in size have been received. Messages on all Rootsweb mailing lists are sent out in Plain Text, that is without coloured background, images, or information about fonts, font sizes and colours. It is therefore recommended that messages to the list should be sent in Plain Text. The automated processes that remove formatting information from Rich Text messages can sometimes produce odd results. All Rootsweb mailing lists have a set maximum size for individual emails. Ours is currently 17kb, which is usually ample. Each individual message has a 'footer' attached with links to the list's archived messages and other useful sites. If an individual message is sent which is more than 17kb it is shelved for review by the list admin (me) and Rootsweb sends me a list of shelved messages (usually well over 90% spam, but also occasionally messages from email addresses not subscribed to the list) once a day. For messages over the permitted size, there is a 'Reject' facility provided by Rootsweb which allows a brief explanation. The usual reasons that messages go over the permitted size are: 1. People replying to Digests, retaining the whole of the Digest in their reply 2. People using Rich Text, especially with built-in gimmicks like coloured animations 3. People attempting to attach or include pictures 4. Occasionally, providing too much information, which could have been provided in separate emails. The following advice may be helpful to all list members 1. If your email provider permits, set the 'Format' for the email to 'Plain Text' 2. If your email provider permits, switch off automatic adverts, corporate messages and gimmicks 3. When replying to an existing message, only include enough of it to give continuity, and trim off the set of web addresses which are at the end of it. 4. Do not include images. If you want an opinion on an image, put it somewhere on the internet and give a link to it. 5. If you are copying and pasting something from a web site or a Word document, you may unwittingly copy with it formatting information which may turn your message into Rich Text, so consider copying first into a pure-text package like Notepad ( or Editpad Lite which I use) and then copying only the text into your email. 6. Put your reply above the message you are replying to. This makes things easier for recipients, especially those reading their emails on hand-held gadgets. Hope this helps Jeff List admin
