To Co-ordinators I thought I would run this past you before I arrange for either "Hints and Help Guide" or "Transcriber's Knowledge Base" to be changed, comments or suggested improvements to the wording is appreciated? The query revolves around double page scans (i.e. two Index pages to a scan). I've just noticed that some volunteers are not inserting a +PAGE to separate the two pages within the transcription. If the decision is taken to go down "Transcriber's Knowledge Base" route, I'm proposng the following addional Q & A. Q. What is the process for transcribing a double page scan (i.e. two index pages to a scan) A. You transcribe the scan as one file and name the file exactly as if was a one page scan. For example, the double page scan 1874b4-520 would have a file name 1874B4W0520. You also need to add three +PAGEs, one at the start of the entries, one at the end of the entries and a further one in the middle of the entries to denote the end of the first index page and the start of the second. For example, the file for the double page scan 1874b4-520 would contain the following +PAGEs +PAGE,0520 WAKEFIELD,Henry John,Coventry,6d,516 other entries on first page down to WALGROVE,John William,"Bradford, Y",9b,258 +PAGE,0521 WALKER,Charles,W.     3. Allan, I have a couple of problems with this wording. Firstly it assumes people are using WinBMD filenames - those using SpeedBMD or indeed WinBMD using Speed filename format might be confused with your example filenames. Secondly it assumes people are using page letters (the "W") - using the page letter is optional (even though I don't believe it should be!) in both WinBMD & SpeedBMD and again the example filename might confuse some people who have never seen it used. Thirdly (and this is slightly pedantic), users don't have to "add" three +PAGE lines as WinBMD enters the first one for them - they need to add the ones at the end of the first page and the end of file. I would suggest that you drop the examples/use of filenames completely, it doesn't really seem relevant - the important part is the inclusion of the +PAGEs. As long as the explanation states that the value entered in the page number field is that of the first page (520), and that at the end of the first page they add a +PAGE,n+1 (+PAGE,521) and at the very end +PAGE,n+2 (+PAGE,522) it should be Ok.     3. Hi Allan Your example is fine BUT on some double page scans the two pages are not consecative. So in this case the instructions need to reflect the +PAGE,nnn in the middle where nnn is the Page number of the second scan and the +PAGE,nnn at the end, where nnn is the second page number plus one (even if the second page was the last page of the quarter.)     3. Hi Allan: When transcribing for my previous syndicate I used to include multiple scans in a single upload file. Each page was separated by the +PAGE flag, just as you describe. On occasion I would upload as many as a dozen scans in a single file, when the scans were handwritten with relatively few entries per page. My coordinator then had no complaints, nor did the file server. This was using the MacBMD software and not that terribly confusing PC stuff. The file naming convention was (and is, for the transcribers in my current syndicate) 1903B2F0150 for the "Fredericks" on the single page 150 of the June births of 1903 and 1903B2F0151_4 for multiple pages 151 to 154 inclusive. The "F" would remain even if the "G's" started somewhere in the set. I think this is very close to what you have indicated. If there are problems with it, please let me know. Peter Adams

    3. Hi Alan If we were doing the double page scans we would ask them to transcribe them as separate pages i.e. two files named as per the page and not a single file including both pages. Your proposed wording suggests that they MUST be done as a single file. It also suggests that that the file name has to be the WinBMD format. That's OK for me but not for some syndicates as we know. I suggest the wording is changed to : 'A. If your syndicate co-ordinator tells you to transcribe each page as a separate file then you simply do what you have been doing with the single page scans and use the same scan for both pages. If your coordinator tells you to transcribe the scan as a single file then you treat the scan as a single page with a single filename but make sure that in addition to the +PAGE at the beginning and end of the file you enter a +PAGE between the two pages. For example: +PAGE,520 WAKEFIELD etc. as per your last paragraph.'     3. Well, as far as I know and from what seems logical, is that each page is a seperate file; double page scan 250 for example, would return two files, 250 and 251. That is what Croscan has been doing; why would it need to be one file just because it is one image? It is still two distinct pages. If it is not supposed to be like that then the scan numbers would logically be numbered in sequence instead of skipping one each time.     3. Hi Steve et al There is a very good reason for one file two pages on double page scans. This revolves around Scan2's automated allocation systems and the proper control of transcribed Pages. It is not a requirement for FreeBMD But SCAN2 System to function correctly IT IS A REQUIREMENT. If syndicates deal with the transcription of double page scans in different ways as now seems to be the case, the main difference being a one file or a two file transcription, then the only thing that can be put in the "Hints and Help Guide" or "Transcriber's Knowledge Base" is the following: Q.     3. Alan, Why are we making this so difficult? This syndicate has all double page scans transcribed as two single pages, almost a complete quarter, following the practice in the John Slann syndicate. It means all pages can be checked as having been completed, and if a transcriber only does one, it happens, we are immediately aware of it. Does this mean that we will all have to conform to these unwieldy files. Long files seem currently to be rejected.
