You may well have seen the messages on the FreeBMD-admins list. I have written to Martin offering to arrange to look after the syndicate, and suggesting how he or another family member may be able to recover relevant files from her computer to enable me or someone else to take over. If any other co-ordinator would like to take over running Sue's syndicate, or if anyone else has written to Martin on the same lines, please let me know off list. Jeff, I presume this refers to the Download option. I am reluctant to make changes to the download format since it is specifically provided to enable further processing (e.g. using Excel) and therefore people will have macros (or whatever) that depend on the current format. However, if there is a consensus for change it can certainly be done. I don't really understand what you mean by "an extra in the 'Include +S/M/F' option". There could be another option but people do complain about the complexity of the existing interface. I don't know the mechanics of how Upload Report is created, but might it be possible to add an additional column submitterID/filename e.g. Jeff/1853B3D0192 which could then simply be copied and pasted into either 'Show File' or 'Show File Differences' to have a look either at the file as a whole or at corrections made to an older file. It is easy enough to create such a composite result with a formula in Excel such as =CONCATENATE(I2,"/",H2) but I don't know if it would be viable in Upload Report, possibly as an extra in the 'Include +S/M/F' option. The system will prevent unacceptable files. What it cannot do is deal with files where the content of the file is valid, but wrong The problem that we have encountered concerns use of different codepages, and special characters. Internally, FreeBMD uses the windows-1252 encoding, and anyhing displayed by the show file facility would also use that encoding (if it didn't, your browser would display strange characters. One of the most common accented characters found in transcription is the letter e with an acute accent. Let us assume that such a character was transcribed, in the UK, using SpeedBMD. In the transcribed file, that character would be code point 130. However, if we left that code point unchanged, it would display in search results as a single opening "smart quote", because code point 130 in the codepage that we use has a different meaning for that point. To get round the problem, FreeBMD uses codepage mapping when processing files. The file from SpeedBMD will have "cp850" in its headers, telling the server to translate from cp850 to windows-1252. Whenever the server processes this file, it will translate code point 130 into code point 233, which is what windows-1152 uses for e with acute accent. If this file is downloaded from show file, it will have code point 233, and a header that says cp850.The file will look OK in notepad (because notepad uses windows-1152). However, when it is uploaded again, it will see code point 233, which in code page 850 is Upper case U with accute accent. Not what was transcribed, but an entirely valid character to appear in a name. It will translate that to code point 218 (the equivalent code point in windows-1252) There is nothing there that the server could use to determine that something is wrong with the file. It is indeed unfortunate that this action has had to be taken and I myself also find it very inconvenient. However, as Dave has explained, copying text from Show File will introduce errors in the transcriptions - and these errors are subtle and difficult to detect, the worst kind. I have introduced a new facility accessed via this link <http://www.freebmd.org.uk/cgi/coord-show-file.pl> which enables a coordinator login to Show File. Using this facility, if you display the contents of a file that is marked as being transcribed for a syndicate of which you are coordinator there will be a download button at the end of the listing. There is also a warning to edit the file with the appropriate software (as happens when transcribers download their files). At the moment this facility is fairly rudimentary - I want to enhance it so that the encoding can be specified. There may also be some problems with files not being marked as being transcribed by a particular syndicate - if this arises please let me know. The problem here is that something has been identified which has the capacity to introduce corrupt data into FreeBMD. That cannot be a good thing. On such circumstances, the first priority must be to ensure that the possibility of data corruption is closed immediately. Then we can look at ways of providing the functionality required safely. To continue to offer a facility once it is clear that it can cause a problem would be a folly, even if, in the short term it might seem expedient. I agree with both Jeff and Peter; I very often copy a line or two from an uploaded file to include in an email for feedback and/or corrections. This is very useful and having to type the extract each time is going to be an extra chore I could well do without. I'm guessing that the problem is being caused by transcribers copying entire pages from Show File to edit and re-upload? I can't see any reason for co-ordinators to be doing that. If it *is* co-ordinators at fault, well, now we have been told not to do it. So I have a suggestion: would it perhaps be possible to restore copying but make Show File a restricted page needing a co-ordinator's log-in, as Syndicate Maintenance does? Volunteers would then have to use File Management. Okay, FreeBMD is not a democracy, but it would have been nice to have had the chance to discuss this before the block was put in place. I must admit, I concur with everything Jeff has said in his email so would it be possible to make a download facility available to us via Show File or another page? Teri Barrie Am I right in understanding that what you are saying is that files copied from Show File should not then be used to be sent back as uploaded files?
Hi David, Thank you for your prompt reply, unfortunately this action will cause me sever difficulties in providing a service to my transcribers and FreeBMD. I concur with Jeff's comments and find in difficult to accept that this action has been taken as it makes life considerably more difficult, and time consuming. There must be some other action that could be taken without blocking this invaluable asset. I spend an enormous amount of time on FreeBMD, effectively a fulltime job, so it is fortunate I am retired, but I have no more time to give. I foresee that this blocking action will have an adverse effect on the accuracy of data transcribed within the syndicate, due to a reduction in positive guidance, that will ultimately cause more work at the Resolution stage.
