    3. Just a quick update for Syndicate Co-ordinators. The latest update (27/10/2004) of the Suspect Report shows a further reduction in the number of Suspect Files. We are now down to 154 Suspect Files and any help you can give in reducing this still further would be appreciated? I'm aware a number of Co-ordinators are assisting in getting this list down to manageable proportions. I particular, Derek Hopkins (Scan 2 Syndicate) and John Mellors (John Pain) have advised they are are dealing with their volunteers to correct their suspect files and therefore to avoid duplication of effort I won't be contacting these same volunteers. If any other Co-ordinators are actively involved in sorting out the suspect files of their volunteers could they please let me know ASAP? Co-ordinators can disregard any files where the problem is shown as "Too many entries between +PAGE" as the chances are I'm already working on eliminating these files from the Suspect Report. Some Co-ordinators are waiting for me supply them with "Challenge" details for some of their volunteers to enable them to take over ownership of the volunteers File Management to correct Suspect Files. I hope to complete any outstanding requests later today. By 17 September 2004 it had been substantially reduced to less than 30 suspect files and was going down on a daily basis. We are continually tweaking the Suspect Report criteria to weed out more suspect files. Barrie Archer recently identified some file which unfortunately do not conform to our highly recommended naming convention and therefore weren't being picked up the Suspect Report. This situation has been corrected and the most recent Suspect Report picks up these files. The net result is an increase in the number of files in the Suspect Report. I've already started to take action in sorting out some of the suspect files and there are about a further 650 files still to be sorted out. The co-operation of Co-ordinators in checking the Suspect Report on a regular weekly basis to identify and assist any of their volunteers with suspect files would be appreciated. I find I'm spending a lot of time dealing with volunteers who have suspect files which is an area perhaps better dealt with by the intervention of Co-ordinators. There may be a surprise for some Co-ordinators if they visited Suspect Report! I monitor the number of suspect files on a daily basis and my aim is to get the list down to zero figures by the end of December 2004. I'm actively involved in correcting the files of one volunteer who has the predominate number of suspect files.     3. Dear All, I have a new volunteer, who cannot access the scan pages at all. She has tried to gain access via the web link I gave her, and also via the long way round (through the website). Each time, she gets a message saying she does not have the right to view the pages. She does not get the password box to fill in. Her registration has been completed properly. What is wrong?     3. A new volunteer of mine is having difficulty downloading a page from our site. The scan in question is 1903 Births, September Quarter, page 206. As far as I can tell she has done everything right, but what reaches her computer - she has sent me a copy - is a blank page, with a little box in the top l.h. corner (with three coloured shapes in it) and at the foot, all the appropriate codes about http://images.freebmd.rootsweb etc etc and the GUS, LDS stuff. Nothing in between. How can I explain to her where she has gone wrong? I've downloaded the same page to my own computer and it's a perfectly normal index page, all ready to transcribe.     3. To Syndicate Co-ordinators One of my functions is to keep the Syndicate Allocation Web Pages at: http://freebmd.rootsweb.com/cgi/bmd-synd.pl up to date as I allocate slots to Syndicates. Because of the piecemeal way in which I have had to allocate slots there's a possibility that not all allocations have been added correctly to the database. I've taken a snapshot of the current information shown on the database and reproduced on my Web Site at: http://www.btinternet.com/~allan_raymond/FreeBMD_Maintain_Ranges.htm Could I please make a request for Syndicate Co-ordinators to check the information relating to their Syndicate at : http://www.btinternet.com/~allan_raymond/FreeBMD_Maintain_Ranges.htm and let me know of any errors/omissions? In answer to two queries. 1. I am aware that some of the allocations shown in the snapshots are unable to be worked on due the absence of scans. Therefore there is no need to advise me about this. 2. The "Statistics for Syndicate" Web Page (which can accessed via my Web Page: http://www.btinternet.com/~allan_raymond/Stats_for_Syndicates.htm ) for each Syndicate is in fact derived from and fully dependent on me keeping the FreeBMD_Maintain_Ranges up to date. The "Statistics for Syndicate" Pages however shows the position prior to the last database update even though I may have updated the FreeBMD_Maintain_Ranges in the intervening period. The delay between me saying I would send it and actually sending it was that I decided at the last minute to delete the names against the SubmitterID to preserve some resemblance of anonymity for the individuals. I have to agree you are quite correct in your comments about me not saying I wouldn't send a list to you any more. It's somewhat academic now as the new process provides the same information less the Scan2 ref. It's also academic, but according to my email folder the last time (on 28 August 2004) I sent a list of volunteers to you who were ready for deletion from your Syndicates I have no record of a response. As this is a two way exercise, I would highly recommend to all Co-ordinators they check their "Upload Reports" via http://www2.freebmd.org.uk/cgi/upload-report.pl in conjunction with "Show file" at: http://freebmd.rootsweb.com/cgi/show-file.pl to establish if long standing allocations to their volunteers have been transcribed and uploaded to FreeBMD. I have assumed this process to be part of the checking process adopted by all Co-ordinators. This check should identify volunteers who registered a while ago but have not uploaded any files. This will prevent me inadvertently deleting a volunteer in error. There are safeguards in the system to prevent me deleting a volunteer who has uploaded one or more records. Regards Allan Raymond

    3. To Syndicate Co-ordinators One of my functions is to keep the Syndicate Allocation Web Pages at: http://freebmd.rootsweb.com/cgi/bmd-synd.pl up to date as I allocate slots to Syndicates. This directly affects the "Statistics for Syndicate" information for Syndicates. As a possible aid to Co-ordinators I've produced a Web Page which gives ready access to the "Statistics for Syndicate" Web Page for each Syndicate and can be found at: http://www.btinternet.com/~allan_raymond/Stats_for_Syndicates.htm The "Statistics for Syndicate" produced for each Syndicate provides the following details: 1.     3. To Syndicate Co-ordinators The amount of Spam emails which I'm currently receiving is still of epidemic proportions and running at about 500 or so emails per day. I have a Spam Guard which filters out the Spam email but this isn't quite 100% error free, in the 500+ Spam emails I generally find a small handful of genuine emails some of which originate from Co-ordinators. Similarly, in my Inbox which receives large quantities of emails per day is a small proportion of Spam emails along with the genuine emails. It takes a while to sort out genuine emails from the Spam emails and I can't be absolutely certain that I haven't deleted genuine emails in error. I've done a trawl through my emails and believe I've resolved any email queries from Co-ordinators prior to 30 September 2004 (I have however dealt with most of my emails received after this date). Any Co-ordinator who is waiting a response to a query prior to 30 September could they please let me know? It would greatly assist me if future email queries from Co-ordinators could have a Subject line which relates to the query and if unrelated queries could be in separate emails. This enables me to file the emails in the correct email folders. I have a handful of queries outstanding post 30 September and expect to deal with these within the next couple of days, so please don't chase these up at the moment.. Thanks Allan Raymond

    3. Just a quick update for Syndicate Co-ordinators. The latest update (20/10/2004) of the Suspect Report shows a further reduction in the number of Suspect Files. We are now down to 165 Suspect Files and any help you can give in reducing this still further would be appreciated? I'm aware a number of Co-ordinators are assisting in getting this list down to manageable proportions. Co-ordinators can disregard any files where the problem is shown as "Too many entries between +PAGE" as the chances are I'm already working on eliminating these files from the Suspect Report. Some Co-ordinators are waiting for me supply them with "Challenge" details for some of their volunteers to enable them to take over ownership of the volunteers File Management to correct Suspect Files. I hope to complete any outstanding requests later today. I've already started to take action in sorting out some of the suspect files and there are about a further 650 files still to be sorted out. The co-operation of Co-ordinators in checking the Suspect Report on a regular weekly basis to identify and assist any of their volunteers with suspect files would be appreciated. I find I'm spending a lot of time dealing with volunteers who have suspect files which is an area perhaps better dealt with by the intervention of Co-ordinators. There may be a surprise for some Co-ordinators if they visited Suspect Report! I monitor the number of suspect files on a daily basis and my aim is to get the list down to zero figures by the end of December 2004.     3. I am trying to send one of my transcribers a completed WinBMD file. I am told that when it arrives it shows up having an MIM extension rather than BMD and will not open. I have not come across this before, can anyone offer any help or advice please John
