In such cases, the duplicate scan should be ignored If a duplicate occurs between the end of one allocation and the start of the next, then it is unlikely to be spotted, and it is no problem. Whilst it is not a formal second keying, such accidental second keyings are harmless. If a transcriber finds two identical scans in an allocation, it is a complete waste of his/her time to transcribe it twice. -- Dave Mayall

    3. This may be a case of teaching grandmother to suck eggs, but to make sense of what the pairs of files in the 'Self Confirmed' list contain it may be useful to follow the links to the files and copy the contents to check what the differences are between them. There are a number of ways of doing this, but a relatively cheap download which does the job quickly and efficiently is EditPad Pro from http://www.editpadpro.com/ . It has a function which allows you to compare two versions of a text file and highlights in different colours versions of the same line which differ between versions. This way it is not to hard to see whether one file is a corrected or extended version of another, and which one should be deleted. I also use it when new transcribers send me a second, corrected version of a file to see to what extent they followed the advice given when I reviewed the first version. 3. Syndicate coordinators are reminded of http://freebmd.rootsweb.com/SelfConfirmed.html <http://freebmd.rootsweb.com/SelfConfirmed.html> which contains a list of files which are showing in the database as having entries that are double keyed but the double keying appears to have been done by the same transcriber. This listing has been enhanced for the latest update to include the syndicate name(s) and the total number of entries in the file. Please note that because of the length of some syndicate names and the occurrence of multiple syndicate membership, the syndicate name is only given for the first file of each user. It would appear that a file can appear in this list for a number of reasons: 1) Transcriber has made changes/corrections and uploaded the file under a different name 2) A ONENAME or RANDOM transcriber has included the same entry more than once 3) A RANDOM transcriber has included entries without volume or page (i.e. with ? in both volume and page) 4) Files have been amalgamated into one file but the original files not deleted 5) Transcriber accidently transcribed the same entry twice 6) Transcriber did the same page twice (but gave it a different filename) Sometimes the list contains files that are correct and these can be excluded from the list. I have done this for a number of files, covering the following cases: 1) A large number of entries only partially readable 2) A number of Unknown,Male deaths registered at the same time (presumably a disaster) Would coordinators please check the list and take appropriate corrective action. If a file is correct and should be excluded from the list please let me know. Thank you Barrie

    3. A polite reminder to all Co-ordinators. Could you please give me 2 to 4 weeks notice if you are going to run out of scans as per my earlier email below? This will prevent any disappointment if you expect immediate responses from me when you run of out of scans without giving adequate notice. Thanks for your understanding. 1. FreeBMD Maintain Ranges - Request to Syndicate Co-ordinators
    2. Allan Raymond
    3. To Syndicate Co-ordinators One of my functions is to keep the Syndicate Allocation Web Pages at: http://freebmd.rootsweb.com/cgi/bmd-synd.pl up to date as I allocate slots to Syndicates. Because of the piecemeal way in which I have had to allocate slots there's a possibility that not all allocations have been added correctly to the database. I've taken a snapshot of the current information shown on the database and reproduced on my Web Site at: http://www.btinternet.com/~allan_raymond/FreeBMD_Maintain_Ranges.htm Could I please make a request for Syndicate Co-ordinators to check the information relating to their Syndicate at : http://www.btinternet.com/~allan_raymond/FreeBMD_Maintain_Ranges.htm and let me know of any errors/omissions? By an iterative process any feedback will enable me to get the information 100% correct. In answer to three queries. 1. I am aware that some of the allocations shown in the snapshots are unable to be worked on due the absence of scans. Therefore there is no need to advise me about this. 2. The "Statistics for Syndicate" Web Page (which can accessed via my Web Page: http://www.btinternet.com/~allan_raymond/Stats_for_Syndicates.htm ) for each Syndicate is in fact derived from and fully dependent on me keeping the FreeBMD_Maintain_Ranges up to date. The "Statistics for Syndicate" Pages however shows the position prior to the last database update even though I may have updated the FreeBMD_Maintain_Ranges in the intervening period. 3. I'm arranging for the Scan Allocation Web Pages to be updated to reflect recent allocations to Syndicates. Therefore there is no need to advise me about any omissions on these pages. Thanks Allan Raymond

    1. Suspect files
    2. Allan Raymond
    3. To Syndicate Co-ordinators The latest update (15/12/2004) of the Suspect Report shows a further reduction in the number of Suspect Files. We are now down to 62 Suspect Files and any help you can give in reducing this still further would be appreciated? Unfortunately 25 new files from one transcriber have crept onto the Suspect Report. Other than for this, the number of Suspect Files would have gone down to 37. The more stringent checks that were applied from 3 December 2004 and as advised by Barrie Archer on the Syndicates List should in theory prevent any more suspect files being uploaded to FreeBMD. However in my testing with Barrie we identified one situation in which a Suspect File could be allowed through the system. Needless to say the 25 files satisfy the one situation mentioned above. The problem occurs when an existing file is renamed, quite simply these 25 files already existed on FreeBMD and were renamed causing a conflict between the file contents and the new file name. This deficiency will be resolved as soon as possible. I'm aware and grateful to a number of Co-ordinators who are assisting in getting this list down to manageable proportions. In particular, Derek (Scan 2 Syndicate), John (John Pain Syndicate), Chris (Chris M's Syndicate), Pat (Pat Savage Syndicate), John (John Slann Syndicate and Tony (FreeLoaders Syndicate) have advised they are dealing with their volunteers to correct their suspect files and therefore to avoid duplication of effort I won't be contacting these same volunteers. **** However, I feel it is now necessary for me to take direct action where progress is slow in correcting some the files and no reasons have been given to me for the delay . Any Co-ordinator who objects to this should email me as soon as possible with details of the volunteer SubmitterID **** If any other Co-ordinators are actively involved in sorting out the suspect files of their volunteers could they please let me know ASAP? Co-ordinators can disregard any files where the problem is shown as "Too many entries between +PAGE" as the chances are I'm already working on eliminating these files from the Suspect Report. Some Co-ordinators maybe waiting for me supply them with "Challenge" details for their volunteers to enable them to take over ownership of the volunteers File Management to correct Suspect Files. I hope to complete any outstanding requests later today. Thanks Allan Raymond ---Original Message----- From: Allan Raymond <[email protected]> To: [email protected] <[email protected]> Date: 01 October 2004 23:10 Subject: Suspect files To Co-ordinators Most of you will be aware I have been actively involved with the co-operation of others to eliminate all the suspect files in the Suspect Report at: http://freebmd.rootsweb.com/SuspectFiles.html There were lots of suspects file way back on 23 February 2003 which was whittled down to about 400 by 8 Oct 2003. By 17 September 2004 it had been substantially reduced to less than 30 suspect files and was going down on a daily basis. We are continually tweaking the Suspect Report criteria to weed out more suspect files. Barrie Archer recently identified some file which unfortunately do not conform to our highly recommended naming convention and therefore weren't being picked up the Suspect Report. This situation has been corrected and the most recent Suspect Report picks up these files. The net result is an increase in the number of files in the Suspect Report. I've already started to take action in sorting out some of the suspect files and there are about a further 650 files still to be sorted out. The co-operation of Co-ordinators in checking the Suspect Report on a regular weekly basis to identify and assist any of their volunteers with suspect files would be appreciated. I find I'm spending a lot of time dealing with volunteers who have suspect files which is an area perhaps better dealt with by the intervention of Co-ordinators. There may be a surprise for some Co-ordinators if they visited Suspect Report! I monitor the number of suspect files on a daily basis and my aim is to get the list down to zero figures by the end of December 2004. I'm actively involved in correcting the files of one volunteer who has the predominate number of suspect files. Regards Alan Raymond

    1. Outstanding Responses from FreeBMD Syndicate Co-ordinator (Allan Raymond)
    2. Allan Raymond
    3. To Syndicate Co-ordinators The amount of Spam emails which I'm currently receiving is still of epidemic proportions and running at about 400 or so emails per day. Althoough I have a very effecient Spam Guard which filters out the Spam email this isn't quite 100% error free, in the 400+ Spam emails I generally find a small handful of genuine emails some of which originate from Co-ordinators. Similarly, in my Inbox which receives large quantities of emails per day is a small proportion of Spam emails along with the genuine emails. It takes a while to sort out genuine emails from the Spam emails and I can't be absolutely certain that I haven't deleted genuine emails in error. I've done a trawl through my emails and believe I've resolved any email queries from Co-ordinators prior to 18 October 2004 (I have however dealt with most of my emails received after this date). Any Co-ordinator who is waiting a response to a query prior to 18 October could they please let me know? It would greatly assist me if future email queries from Co-ordinators could have a Subject line which relates to the query and if unrelated queries could be in separate emails. This enables me to file the emails in the correct email folders. Mixing subject content within the same email causes me some problems and there is a greater chance of me overlooking a request. I have a handful of queries outstanding post 18 October and expect to deal with these within the next couple of days, so please don't chase these up at the moment.. Thanks Allan Raymond

    1. Important notice regarding errors in files
    2. Dave Mayall
    3. Due to an unexpected occurrence during the current Database update, some transcribers will find that a lot of their files are labelled to show that they contain errors. The database update has been suspended, and will be restarted once we have resolved the underlying problem. Until the problem has been resolved, it will not be possible to remove the error flags from files. Please be assured however that the flagged files have not been removed from the searchable database, and will not be removed. We are doing our utmost to resolve the problem, and would ask that transcribers refrain from sending e-mails to report the files in error or to enquire about the problem. Time spent answering such e-mails is time that isn't spent fixing the problem. -- Dave Mayall ---------------------------------------------- This mail sent through http://www.ukonline.net
