With CD burners, you can now easily copy from Outlook (or Outlook Express) direct to your CD drive, using Windows Explorer. Just drag and drop the envelopes (in groups etc) onto the CD drive as you would using two explorer windows, except that in this case one of the "windows" is Outlook. You do lose the formatting that you see in Outlook, at least you have a CD backup of the individual emails. I would then copy them back in to Outlook in the event of a Crash or Upgrade. Now I had better go and do it myself, for my backups. Hi all Both upload report and syndicate management have been a liable to be very slow, or to time out, for a while. Assume that most of the extra people searching are in UK either at work and using their evenings/early hours/weekends for FH research, or are at home/retired and start after breakfast. Weekdays between 7 and 8.30 am seem to be good times (UK time), but I expect 1am to 7am would also work. Look at http://freebmd.rootsweb.com/UsageInfo.html to see the usage pattern - as Barrie has posted since I started this. Jeff -- No virus found in this outgoing message. Checked by AVG Anti-Virus. Ian, Yes, I came across Kat4 as a Christian name back on 23 March ! In the end I had to leave it as Kat_ because I was unable to upload or edit it to a 4.
Depending on the report, Upload Report can be quite expensive on resources and tends to suffer more if the system is heavily loaded. From http://freebmd.rootsweb.com/UsageInfo.html you can see that we are performing very high levels of searches and at times about 25% of these are failing due to the heavy load. As you may be aware further servers will be added shortly which should help the situation. Nevertheless, I have done some optimisations on the syndicate database which may help a bit. To Syndicate Co-ordinators Sugar! In my successful attempt a couple of hours ago to change to Broadband I accepted the offer to download a later version of Internet Explorer/Outlook Express. This had grave consequence. All my emails have gone walkies. Whilst I maintain a paper copy of allocations to Syndicate and keep spreadsheets of some other activities I am very much at the mercy of Co-ordinators supplying me with copy of emails which are still waiting a response from me. In particular, any Co-ordinator who has requested a transfer of volunteer is requested to resend their request to me. Apologies for any inconvenience but I'm totally gutted with the loss of all my emails especially as the same problem occurred about 3 years ago when I picked a virus. Regards Allan Raymond

So far as I can see, it's just down to heavy load on the site. The site loading is becoming increasingly critical, a situation which will be resolved once we get the additional capacity on-line. -- Dave Mayall
Hi folks, A few weeks (?) ago I saw a posting on Admins where someone was asking how to transcribe/upload names with numbers in them. I didn't however see a reply and I now have a similar name and am stumped how to twys it. Did anyone see the reply or does anyone have a suggestions? Thanks Ian
Hi All No its not just you. I have given up on "Syndicate Management" First Panel OK then getting the next panel after selecting the Syndicate Sat there for 30 minutes and I cancelled it twice that is just tooooo Much. Is anyone else having problems with Upload Report ? I can get most other programs - Show File, Scan Source, Syndicate management (a bit slow), etc. - OK. Upload Report entry page comes fast enough but I never get the reports (Download) even after 5 minutes. Used to be OK even with my dial-up and 40 year old phone lines. Cheers, Ted
Hi This a simple request to Co-ordinators to let me know if they have requested a Scan Allocation from me but are still waiting a response. As far as I am aware I am now up to date with all requests but there may some I have overlooked. If this applies to your Syndicate could you please let me know off list with the date the request was sent to me. Thanks Allan Raymond

Friday, January 7, 2005, 6:43:48 PM Hi, A new transcriber has submitted her details to http://www2.freebmd.org.uk/join?coord=TMeighan but as yet I have not received confirmation. She sent in her registration on 9th Dec 2004 approx. I found her name on the Syndicate Maintainence page http://www2.freebmd.org.uk/admin-cgi/bmd-add-synd.pl on the 5th January 2005 and I have added her to my Syndicate, but now when she has tried to upload a file she has been instructed that her registration has not been completed. She is able to download, so I'm keeping her busy :o) Can someone please cure this problem or make suggestion how it can be cured? -- Regards, Tony
To Syndicate Co-ordinators The latest update (05/01/2005) of the Suspect Report at: http://freebmd.rootsweb.com/SuspectFiles.html shows a further reduction in the number of Suspect Files. We are now down to 25 Suspect Files and any help you can give in reducing this still further would be appreciated? All 25 files in the latest Suspect Report are due to "Too many entries between +PAGE". These files are mainly transcribed from fiche rather than Scans and it makes it more difficult for me to do a hands on approach with helping to correct the files. Any help Co-ordinators can give regarding their volunteers who appear in the Suspect Report would be appreciated. I have corresponded with some Co-ordinators and volunteers regarding these 25 files but currently have not had any success in getting the suspect files corrected. Some Co-ordinators maybe waiting for me supply them with "Challenge" details for their volunteers to enable them to take over ownership of the volunteers File Management to correct Suspect Files. I hope to complete any outstanding requests later today. Thanks Allan Raymond -----Original Message----- From: Allan Raymond <[email protected]> To: [email protected] <[email protected]> Date: 07 January 2005 13:44 Subject: Re: Suspect files To Transcribers and Co-ordinators (an update to my email of 31 March 2004) Since 23 February 2003 and as part of the ongoing process of validating the data in FreeBMD we have been able to identify files uploaded to FreeBMD which for a variety of reasons are suspect. Transcribers and Co-ordinators are requested to check the Suspect Report page at: http://freebmd.rootsweb.com/SuspectFiles.html at regular intervals to see if they have files listed. If so please follow the instructions at the head of that page. No action is required by volunteers if their files do not appear in the Suspect Report. I have been actively involved with the cooperation of others to eliminate all the suspect files. Particular thanks to Co-ordinators who have taken a proactive role in identifying and correcting suspect files uploaded by their volunteers. There were lots of suspects file way back on 23 February 2003 which was whittled down to about 400 by 8 Oct 2003. The number of suspect files was reduced down 31 as at 30 March 2004 and was going down on a daily basis. Refinements were made to the Suspect Report criteria which increased the number of suspect files to 88 as at 31 July 2004. Further refinements were made to the Suspect Report criteria which identified some files which unfortunately did not conform to our highly recommended naming convention and therefore weren't being picked up the Suspect Report. This refinement caused the number of suspect files to increase to 650 as at 1 October 2004 but was reduced to 286 by 6 October 2004. With a lot of work by Co-ordinators the number of suspect files has been reduced down 25 as at 5 January 2005. *** To be forewarned - the Suspect Report criteria will be continually modified to pick up more suspect files *** I monitor the number of suspect files on a daily basis and my aim is to get the list down to zero figures by the end of March 2005. Regards Alan Raymond
Hi Jeff The best course of action regarding any problems regarding volunteers registration should be an email to the Volunteer Co-ord at: [email protected] . If either Virginia or me are not available it allows other team members to intercede if of an urgent nature. A brief detail of the problem together with the SubmitterID and name of the Volunteer will enable the problem to resolved very quickly. Some of your suggestions are quite valid and will assist some volunteers completing their registration. However, never request a volunteer to re-register with a different SubmitterID. This only serves to generate another unwanted SubmitterID on the system which has to be deleted at some stage.
