Evan You may lead a horse to the water, but you cannot make him drink springs to mind. I'm aware some individuals are not following the advice in the Tip on how and when to insert the #COMMENT line. I would like to think this is because they are not aware of the requirement rather than a deliberate attempt not to follow the advice. I came across one such transcriber yesterday who was not aware of the requirement which is why I have decided to resurrect the Tips if the Day. This is indeed a timely reminder of TKB 6u. A substantial minority are omitting to add the bracketted 2 - (2) - after COMMENT and using their own phrasing of the comment. A few do not add any COMMENT. TKB 6(al) is also not being followed in many instances. The example shows Frederick A.M. being transcribed as Frederick A. M. If there is no space in the index, no space should be in the transcription. You use #COMMENT(3) between the first and second versions, if you have three alternative surnames for the mother Adapting the example used in the 'Tip of the day' below Dunn,Charles,Curphey,W.Derby,8b,697 #COMMENT(3) entry reads Curphey or Bradley or Smith for mother`s name Dunn,Charles,Bradley,W.Derby,8b,697 Dunn,Charles,Smith,W.Derby,8b,697 The use of #COMMENT(2) and related lines is described in http://www.freebmd.org.uk/Format.shtml , quite a way down the page. Sheila Ah! You need to look at the link I provided in my Tip, namely http://freebmd.rootsweb.com/vol_faq.html#6u . Which mentions: If there are more than two names, enter one record for each and put in one comment covering all the names, e.g. #COMMENT(3) after the first of three entries. Thus by way of an example if you had an entry such as Dunn,Charles,Curphey or Bradley or Jones,W.Derby,8b,697 you would transcribe as: Dunn,Charles,Curphey,W.Derby,8b,697 #COMMENT(3) entry reads Curphey or Bradley or Jones for spouse name Dunn,Charles,Bradley,W.Derby,8b,697 Dunn,Charles,Jones,W.Derby,8b,697 I should just mention my Tips of the Day only reinforces and reiterates but not replaces the definitive advice contained in our Transcribers' Knowledge Base at: http://freebmd.rootsweb.com/vol_faq.html . Hi Allan, I joined FreeBMD about a year ago, so that would explain it. Many thanks and regards, Martin Guiver -----Original Message----- From: freebmd-admins-bounces@rootsweb.com [mailto:freebmd-admins-bounces@rootsweb.com] On Behalf Of Allan Raymond Sent: 06 June, 2011 11:29 PM To: freebmd-admins@rootsweb.com Subject: RE: Tip of the Day (No. 6) (last updated 06 June 2011) -AlternativeSpouse Names in Marriage and Birth Records Martin I started sending out the tips in 2007/2008 and they have been in abeyance for the last two years or so and I'm resurrecting them again. So unless you were subscribed to the Admin list in those days you wont have seen my previous tips. I'm in the process of preparing an index which will link to the Admin List Archives so you will be able to view all the tips. As an interim if you go to the Admin Archives at http://archiver.rootsweb.ancestry.com/cgi-bin/search and enter Tip of the Day in the Subject box it will show all the tips and any discussions relating to them. I've been on the Admin mailing list for some time and I've never received the previous tips... Best regards, Martin Guiver -----Original Message----- From: freebmd-admins-bounces@rootsweb.com [mailto:freebmd-admins-bounces@rootsweb.com] On Behalf Of Allan Raymond Sent: 06 June, 2011 9:31 PM To: freebmd-admins@rootsweb.com Subject: Tip of the Day (No. 6) (last updated 06 June 2011) - AlternativeSpouse Names in Marriage and Birth Records This is the sixth in a series of "Tip of the Day" to help volunteers who are transcribing for the FreeBMD Project. This Tip of the Day has been updated to take into account feedback from volunteers and is reissued for the benefit of our new volunteers plus existing volunteers who may have missed it when last issued. Further feedback is welcomed. The Transcribers' Knowledge Base at: http://freebmd.rootsweb.com/vol_faq.html#6u provides the definitive advice for dealing with alternative names in records. I've been carrying out ongoing checks of recent files uploaded by a number of transcribers to see how they dealt with records containing alternative names. In particular, where alternative spouse names are shown against a marriage entry the advice in http://freebmd.rootsweb.com/vol_faq.html#6u in a number of instances was not being followed The correct way to transcribe a marriage entry such as Dunn,Charles,Curphey or Bradley,W.Derby,8b,697 using the advice in http://freebmd.rootsweb.com/vol_faq.html#6u is Dunn,Charles,Curphey,W.Derby,8b,697 #COMMENT(2) entry reads Curphey or Bradley for spouse name Dunn,Charles,Bradley,W.Derby,8b,697 Please note, the #COMMENT(2) line is located between the two entries under consideration. By a similar token the correct way to transcribe a birth entry such as Dunn,Charles,Curphey or Bradley,W.Derby,8b,697 using the advice in http://freebmd.rootsweb.com/vol_faq.html#6u is Dunn,Charles,Curphey,W.Derby,8b,697 #COMMENT(2) entry reads Curphey or Bradley for mother`s name Dunn,Charles,Bradley,W.Derby,8b,697 Please note, the #COMMENT(2) line is located between the two entries under consideration. There should be no space between #COMMENT and (2) although to cater for the large number of previous instances of a space being inserted it is now allowed to include a space. For standardisation purposes there is no necessity to change the format of the wording after the #COMMENT(2) shown above and in http://freebmd.rootsweb.com/vol_faq.html#6u . The audit process checks for the alternative spouse name checks and the list of files identified as being suspect is listed in http://www.freebmd.org.uk/SuspectFiles.html . It would be appreciated if transcribers in conjunction with their Co-ordinators could check http://www.freebmd.org.uk/SuspectFiles.html to see if any of their files are listed and where appropriate correct the files by including the appropriate #COMMENT(2) line. A warning message will be shown against any suspect files when viewed in File Management. As an aside A misplaced #COMMENT(2) line can have the wrong outcome. In the example below the #COMMENT(2) in the file is placed after the two entries under consideration rather than between the two entries. Barbour,John H.,Stephenson,Skipton,9a,79 Barbour,John H.,Mitchell,Skipton,9a,79 #COMMENT(2) - above line has Stephenson or Mitchell as spouse of John H. Hi Raymond, Very interesting, but what happened to "Tip of the Day Nos. 1 through 5"? Barbour The resultant effect from a search is to place a #COMMENT against one related entry and one unrelated entry as shown below: Barbour John H Mitchell Skipton 9a 79 (related #COMMENT - above line has Stephenson or Mitchell as spouse of John H. Barbour) Barcinski Philip H Newton Hampstead 1a 1513 (unrelated #COMMENT - above line has Stephenson or Mitchell as spouse of John H. Martin I started sending out the tips in 2007/2008 and they have been in abeyance for the last two years or so and I'm resurrecting them again. Thank you for your help Jeff I have gone with your suggestion of combining everything in a one line #COMMENT Kate -----Original Message----- From: freebmd-admins-bounces@rootsweb.com [mailto:freebmd-admins-bounces@rootsweb.com] On Behalf Of Jeff Coleman Sent: Tuesday, 31 May 2011 11:55 PM To: freebmd-admins@rootsweb.com Subject: Re: 1845B4-A-0102.jpg This is just a suggestion Ayre Richard Northallerton XXIV 437 #COMMENT handwritten amendment XXIV to original volume XIV with ? and 24 also written in Given that the district for XIV 437 would be Lincoln, which looks nothing like Northallerton, it seems that at some point various attempts have been made to correct the volume. It could be argued that following TKB 6(am) there ought to be two lines, one with XIV and one with XXIV, with a #COMMENT(2) line. As it is clear that XXIV is a correction for XIV I suggest that application of TKB 6(am) is not appropriate. The ? and 24 seem worthy of mention, but only in a comment line, I suggest. Line 3 of the scan shows Ayre Richard Northallerton ? XIV 437 Above the volume no. is written XXIV which is correct for Northallerton and alongside it is numeric 24. I think the ? was written at the same time. It's possible the district is incorrect but the page number is within the range for Northallerton. This is just a suggestion Ayre Richard Northallerton XXIV 437 #COMMENT handwritten amendment XXIV to original volume XIV with ? and 24 also written in Given that the district for XIV 437 would be Lincoln, which looks nothing like Northallerton, it seems that at some point various attempts have been made to correct the volume. My mistake ... Jeff was right, it should be Do Not Validate Districts. TKB 3(o) has been amended. Hi Barrie, The example in the query from Keith Simpson that started this thread - at the bottom of the second column of 1942B2S0187<http://images.freebmd.org.uk/GUS/1942/Births/June/ANC-05/P-Z/1942B2-S-0187.jpg>- actually includes a Volume in an unusual format so would require selecting the option Do Not Validate Districts. Transcribers in the Ian Brooke syndicate have occasionally come across other examples like that in 1946 births. Perhaps TKB 3(o) could be expanded to cover both volumes and page numbers in unusual formats ? This has now been added to the Transcribers' Knowledge Base - http://www.freebmd.org.uk/vol_faq.html#3o Note that the option is Do Not Validate _Page Numbers_ and it also needs to be selected to do the upload to FreeBMD. Keith This issue was discussed on the FreeBMD-syndicates list yesterday and today. >From June quarter 1974 all volume numbers became purely numeric - 21 or 32 instead on 1a and 10b as examples. In WinBMD version 6 you can use 'Do not validate districts' in the Option menu on a temporary basis to allow you to enter Plymouth,21 M'78 Remember to remove the tick from 'Do not validate districts' after use. At the base of page 1942B2-S-0187 there is a handwritten entry with an unusual Vol.No. My question is what do I enter for the Vol.No. Thanks Keith
My guess is that the "A" was typed accidentally while the typist was using the typewriter lever to move to the next line. "A" is at the left side of the keyboard. I would say their hand slipped and hit the shift and "A" keys. The solution using #COMMENT(2) is probably the best, in my humble opinion.
