I ended up with some duplicate people, and unfortunately, the ones I had to keep were not the ones which were linked to some census and document records. Hello Liz; I use both the Access 2000 Clooz and the Stand Alone version of Clooz. 1. I use the Access 2000 version on my desktop...in conjunction with Ftm software and as a backup to my laptops standalone version... and the ablility to create reports easier 2. I use the Stand Alone version on my Lap Top for trave purposes to have easy access to all my notes and Family History information sothat I elimate duplicate information. Will it be possible to upgrade both of these programs? Renee
Hello List, I'm looking for ideas. PROBLEM: I'm willing to change my present system to accommodate the filing principles in Clooz with an exception. I have a genealogy correspondence folder for each significant contributor. There are just a few but I am not willing to split the documents into their appropriate document folder/binder. These folders contain all types of documents. The quality of some data may be worthless while some is priceless. However, once it is scattered I would be unable to review it as a whole, to see if a subtle piece of information was overlooked. PROPOSED SOLUTION: I will record the documents in these folders and assign the appropriate Personal File #, record the number on the document, include the name of this folder somewhere in the detail form, and then return the document to the folder in alfa-numerical order. At the same time, I will create a cross-reference card that will be inserted where it belongs in the appropriate folder/binder. (At this time I am not positive if there is a place to record the folder name in all the detail forms) Any ideas would be appreciated. Ron Adams
My first Clooz project has been to develop a database of bibliographic sources: books, periodical articles, microrecords, CD-ROMs etc. I have either used, plan to examine or have already checked (with either positive or negative results). I entered a few titles in a Sources database as a trial. These sources are not linked to people. My questions at this point are regarding searches. Am I limited to a search by source title? Are keyword searches of all fields in the entire database an option? Also, can I edit the template, i.e. add or rename a field?
Christopher, I don't see the first row with the field names. That has to be in the import file at the very beginning. It's better for me to diagnose if you send me a copy of the cloozimp.txt file. The error message I receive is the rather ambiguous: "Import function was not successful." I have the Clooz v.1.21 stand alone version installed. Of course, the file is "cloozimp.txt". I have used Word 2000 as the editor and saved as plain Text. I have since opened it with the text editor, and it doesn't complain or show strange codes. David, do you have Access 97 or Access 2000? If not, you're using the stand-alone version. If you do, only you can tell which you installed. There's really no way to tell in the program. The only way to tell is to look at the Properties for the Clooz icon to see what directions are given for opening the program. Let me know if you need help with that. Well, as usual in my business life, nothing goes quite perfectly. If you went to my new Clooz web site to download the patch before about 9 a.m. today, you downloaded the version 1.21 patch from the Ancestor Detective Web site. This was because we forgot to update the links on that page. The links are correct now. If you downloaded the Clooz stand-alone/Access 97 version 1.22 before 12:15 p.m. today, you may experience a sort order problem. Thankfully a Clooz user pointed this out to me in time to catch the new CDs that are being created. I have fixed this problem and have put up a new patch. So, if you've already downloaded the patch (only the stand-alone/Access 97 one), you should download again. The Access 2000 patch did not have this problem. I apologize for this. I was trying to fix a problem for a customer in another country and forgot to switch the sort order back to where it should be. Hi Karen Chappell and List, I handle census data much like Lillian Cain, my genealogy program allows me to find, sort, and make standard and custom reports that sound similar to what you are seeking. On the other hand, Clooz tells us all the documents we have (and where they're filed) on a person regardless if it's a census record or something else. I use Family Origins and unlike some programs it allows you to attach a "Source" and a "Note" to every fact/event you record about a person. I'll bore you with the steps I take recording a census to give you some idea how I take advantage of my genealogy program. 1. I compose an abstract in my word processor: 1870 U. S. CENSUS ABSTRACT: This census shows the George Stewart household living in Dover Township, Pope County, Arkansas. The household includes George 30, Jane L. 28, Georgian 7, Daniel 4, and Hasky Ellen 1. Both parents were born in Tennessee and the children in Arkansas. George is a farmer with real estate valued at $300 and personal estate at $550. (187-190, Page 27/348 Line 6, dated 26 Jun 1870) Abstract by Ronald J. Adams. 2. Then in my genealogy program, I create a new "Census" fact for each person that is named in the census. If it is the census that shows parent's birthplaces, I create a census fact for each of their records too even if I don't know their name. I would name one [Father of George Stewart] and the other [Mother of George Stewart] until I found their correct name. 3. Then when I create the new "Census" fact for a person, I enter: a. DATE it was enumerated. (26 Jun 1870) b. PLACE census was taken (Dover Township, Pope County, Arkansas) c. SOURCE (1870 U. S. Census) and CITATION (George Stewart Household) d. NOTE (Here I paste in the abstract if this person is the head of household or is a direct ancestor. If they are neither, the citation (George Stewart Household) tells me where I can find the abstract should it be important later. e. This completes the census data entry. f. In the case of George Stewart, his individual record shows four "Census" facts because I found him in 1840, 1850, 1860, and the 1870 censuses. When I go to any person's record on the screen or print it out in certain reports, all his/her facts (Birth, Marriage, Immigration, Census, etc.) are listed in chronological order showing the date and place. (This is some of the information you were looking for in Clooz) If I want to, I can create custom reports showing the "Census" data sorted in different ways. I apologize for the length of this but I'm one of those people who will tell you how to make a watch when you just ask for the time of day. Hope this gives you some ideas. I, too, feel that the reports leave much to be desired. However, having made a couple of my own reports in Access I am more enthusiastic about the program. According to the ads, Clooz is an electronic filing cabinet. It's excellent for filing all the documents. It is not a genealogy program. Most of the things that people say they want to do can be done with a genealogy research program such as TMG. Thus far I've only used the Document and Photograph templates. I use the Documents for everything. I haven't yet but will probably use it for census. My census info is in TMG, and I can do a variety of census reports in TMG. What I will do in Clooz is simply to put the title of the document (ex. 1850 Mass Census) and then probably put the people--or at least head of family. My census "document" will be the form I used to copy the census. Clooz will give me the number of my form (ex. CEN 0001), and a list of people. From that I can tell if I have copied out the census for a particular person and where my form is. Because I only put the bare minimum into Clooz, it does not take me long to put in my info. I haven't had much time to devote to Clooz lately, but I'm pleased with how quickly I can complete each Clooz document by only putting in a minimum of info. (I already have complete info for each census, for example, in TMG.) I think the report that lists by category (ex. VRs, ARTicles, CERTificate, etc) and lists people within each category is very useful. I don't find the other reports helpful. In Access I've done a report that gives me the PRN and Document title, along with people associated with each document. I wish I could have this report in Clooz but haven't found a way to do it. I'd also like a simple report that lists everyone alphabetically with whatever documents they appear in. (i.e. alphabetical list of people and PRNs associated with them). I don't find the people reports helpful because they include everyone. I can get that list from TMG. I hope these comments are helpful and not too critical. I'm certainly glad I got Clooz and think it's excellent for what it's designed for. If I knew more Access (I'm slowly teaching myself) I'd be happier because I think I could get exactly the reports I want. Lillian Cain
Since Clooz has been on the market, I've been asking for suggestions from users on how to improve the program. I have incorporated all of the suggestions that I have been able to so far. I am always open to suggestion and this is a great time to send these suggestions because work will begin soon on Clooz version 2.0. This version will be written in Visual Basic, which will give me a lot more flexibility with a lot of the items that people are asking for, such as better reports and search capabilities. Some suggestions received are very doable, while others will take a lot of work or may not even be possible or in the realm of the mission of the program. In my use of Clooz, I have never relied a lot on the reports, which is probably why the reports aren't what a lot of people would like them to be. I do most of my analysis right in Clooz. And if you wonder if I use the program all that much--I do. A lot of little tweaks and improvements happen to the program because I am a constant user of the program. I'm trying very hard lately to get all of my papers entered and filed because I'm tired of not knowing everything I have when I go on a research trip. I loath having extra paper, which is why I don't print a lot of the reports. So, your suggestions are extremely useful in this regard because I need to know how you want the reports to retrieve your information. In response to Franklin's message below, even if the reports aren't exactly as you would have them be today, Clooz still stores all of the data. This means that if you need a specific report to do a specific thing, the data will be there, just the report needs to be created. If you're happy with Excel, fine, but Excel is not a relational database and can't do the same things that Clooz can do in that regard. Two items: 1. How do you really USE Clooz reports? 2. Need for a better All Persons Report. 1. Okay... I've entered into Clooz almost all of my documents, and I've read the bulk of the manual. While the manual tells me how to enter things, and what reports look like when they're printed, what the manual does not say is how can I really make use of all this data that I've entered into the database. In other words, what would I use each of the reports FOR? How will they help me in my genealogy efforts? I'd appreciate people sharing here how they actually USE these reports in their work. What is helpful about them? (And then I think the answers should be incorporated into the next version of the manual-- in the section where the sample reports are provided.) 2. In thinking about #1, I realize that the All Persons Report doesn't really do much for me that my genealogy program doesn't already do. Why would I want an All Persons report, especially when it doesn't include any of the document information I've included in Clooz? It contains only the information I already have in my genealogy program. The only use *I* can see of an all persons report would be to have a list of all people in my Clooz database, in order to know which records (census, directories, etc.) that I have for each one. Right now, the only way I can do this is to print out a report for each person. If I had such a list, then I'd be able to tell by reviewing the list, who I needed to do research on, or obtain documents for. This gets me back to question #1: How do I really USE Clooz as a tool in moving closer to my genealogy research goals?
