    3. Sounds like a good idea to me. Don McNeeley -----Original Message----- From: Patty Lill [mailto:[email protected]] Sent: Saturday, March 10, 2001 7:41 PM To: [email protected] Subject: [Clooz] Transcription and remarks fields Does anyone know if there are any plans in future updates to include a field for transcriptions of documents? I know there is a remarks field for each person attached to the record but this seems a rather silly place to put a transcription. It would also be nice to have a remarks field for the document itself. Patty Lill ============================== 9 Health Tips for Computer Genealogists http://www.thirdage.com/features/tech/ouch/

    3. Hi everybody on the Clooz list. I am just a newcomer to both the Clooz program and the List, but I do have something like about thirty of the above named documents to to enter. I don't know if it is possible to develop a special form for this purpose where a person could enter the "highlights" in the remarks section to facilitate searching and then also add a link to a copy of the whole transcription! Maybe if Liz is reading this, she could enlighten us on the (lack of) possibilities. Art Lengkeek, Chilliwack, BC

    3. Make sure that the first line starts with the field names and is not a blank line. Also, make sure that the field names match exactly with those listed in Clooz, including capitalization. If you're still having trouble, e-mail me the file as an attachment and I'll take a look at it. 3. I like to embed the id number into some of my filing. Correspondence especially. For example LET-IIIII-999x where IIIII is the ID number of the person writing the letter, 999 is a unique number for the letter and x is a lower case number to identify multiple pages (b,c,d,etc.) This lets me easily add new documents, but keeps all the letters from a specific individual together. If the person writing the letter isn't family, then I just use XXXXXX. Sheila Altenbernd [email protected] >Thank you for your explicit details of your system of recording. > >

I, too, find simplicity is the best and wondered if it is at all possible in this hobby. I really like your ideas and think I will attempt the input as you've described. I actually bought Clooz just before I bought TMG, but really didn't start using Clooz until just recently. It kind of just sat there while I made up my mind about a filing system. I wasn't set in what type of filing system, (I had all documents sorted by surname) so I decided to go with Liz's suggestions that are in the Manual. I decided to go with just simple file numbers of BIR00001 for Births, DEA00001 for Deaths, OBIT00001 for obituaries, MAR00001 for marriages, etc. I use binders with archival top loading sheet protectors. All birth records are in one group, deaths in another, obits in another, etc. For my Census records, they are just split up by state, so those file numbers would be, IL00001, KY00001, etc. I don't split them by county or by year. I took all of my records and sorted them down by type. Then I took one type of record, say birth records, and entered all of them into Clooz. As I enter them into Clooz, I check in TMG to make sure that I put in my source and that I had recorded all the information I could get from that record. When I'm done with that group of records, I print off an index and put that into the front of the binder. This way if I need to go back to refer to a record, I can tell what record that person is in and which of those records that person is marked primary. When I have to add more records to a group I print off a new index and replace it. By doing it this way, I'm going back and making sure I've included all of my sources, and they are getting filed the way they should be. And like I said, when I print off an index for each group, I can tell by looking at the front of my binder, where a record is for that person. One thing I do with my census records that has helped me is this, I put them into Clooz first, I will then print out the report for that census record and use that to enter my information into TMG. The reason I do this is, I only have to decipher the writing on the census pages once. And since all of the information I need to enter in my source into TMG is right there on that printout, I'm making sure I haven't missed anything. To some this might seem like a waste of paper, but I just put that paper with my actual census copy. I have now completed all of my birth records and my death records. I am now (for variety) working between my obits, marriages, and census records. Once those are done, I'll move on to my correspondence (boy are those a HUGE stack, mostly email). As Liz stated in the manual, Keep it Simple. And I have found for me, that her way is the simplest. And since I'm taking it one group at a time, I don't feel overwhelmed. I also hadn't realized how many records I actually had until this. So Thank you Liz for a great product! Debbie

    3. I think you will find the two programs complement each other. I wish I had started with Clooz earlier. If you have your names in the genealogy program you can import them into Clooz so that you can link them easily to the sources and documents you will enter into Clooz. I think once you get the program and read the manual this will make more sense. The main suggestion I have is to think about how you want to organize your material before you begin. Give yourself reasonable goals for entering your material. It doesn't all have to be done at once. If you have a lot to enter it may seem overwhelming. Remember you didn't collect it all at once. 3. Hi Ann and all - - - I, too, use TMG and Clooz, and am somewhat of a novice at both, but so far I find that using them together is just the way to go. Record what you will as a source in TMG and then the same listing in Clooz. Then file your documents as you go. I've been categorizing about 25 years of documents, so it is a big "catch up" project, but it is making me a much more systemized searcher. I am going back and recording "where'd I get that" in TMG now. There was no good way to do that when first entering folks in my first genealogy program years ago. [Too early old, to late smart!] Better to get started right, but Clooz allows "catch upers" to get there section by section. My major suggestion: Check the Clooz archives for some great ideas for your filing addresses [Personal File #s]. Think out how you think you will use the documents. You may want to find a document without going into Clooz. Others have some great ideas on how to do that. I have used a modified system suggested by others. 3. Patrick, It's really just a matter of what you're most comfortable with. I personally use Obit0001, Obit0002, etc. for obituaries and News0001, News0002, etc. for any other newspaper articles. But if I had a large number of another type of newspaper article such as marriage announcements, I might start a new heading just for them. It's really not important what you call anything as long as you consistently enter the name in Clooz and physically file them away with the same name. Hope this helps, Mike Dickson Patrick Dunphy wrote: > Kay, > > Click as I might, often and everywhere, they don't come back. I am interested in hearing any ideas for a numbering system. I started with B, M, D, but soon realized the need for Burial and Obit. Any suggestion on how to treat a newspaper article that is reporting an event that includes a death. It's not an obit, but should I treat it as such for simplicities sake?
