    3. What is the logic behind dividing documents into type? Why not take "simplicity" one step further and just file documents strictly numerically as photos are? You still know where to find them by looking them up in Clooz. It's not to identify binders because you could have several "Birth" binders (for example). Just curious! Patty Lill

Go into the 1920 record you wish to delete - assuming you have not linked people yet, you can then simply push on the Big Red X in the toolbar to delete the Census Record If you have already linked individuals, you need to highlight the triangle to the left of the person and delete the person from the census record using the Big Red X. Repeat for each person. Once all the people are gone, you can delete the Census record as described above. Can anyone tell me how to do this? I guess I could leave it and re-enter it as 1910, but I like to eliminate "clutter" if I can. Thanks. I moved my CLOOZ database and didn't even know what I had moved other than it was called "GROVES." I moved it into my Genealogy, GROVES folder. A good idea, but a novice at work! The last action to import a new database (from TMG) into Clooz is to, "Open the newly created .txt file in a word processor, add field headings in the first row of field names, save, and copy the file into the Clooz program directory and import." What does this (italics) mean? It means to me insert a blank row above the first row of data, type in the five field names I was instructed to use in Step 3. Is there any format required for these field names or can they be typed all together without any spaces (the way the data below is all together). Can anyone clarify this step? Robert Montague

I had *just* finished establishing a system of filing documents that seemed most useful to me (I found Sharon DeBartelo Carmack's "Organizing Your Family Records" extremely useful and easy to read and understand) when I started using Clooz. Understandably, I was not very excited at the prospect of throwing all that time (and money!) out the window and starting over. So.... I adapted to the two systems as follows. While I'm only now starting on other documents besides the census (love it already!) I think this will work well and still be easy to, at a glance, see what kind of record is involved. My manual filing system is as follows: Color-coded: Blue for my maternal line, red for my paternal line; yellow for my husband's paternal line and green for his maternal line. I found some *great* tabs for the hanging files which are actually 3-sided, the third side being a very narrowly typed bar that shows when viewed from above. No more flipping through all the hanging folders to peer through half-covered tabs and see what's in each folder. Each family has files for the same kinds of documents; i.e.: Birth records - GIRTEN, Census records - GIRTEN, City Directories - GIRTEN and the like. I used the subject headings suggested in Carmack's book, adding a few of my own. Some of them are: Birth records, Marriage Records, Tax Records, Probates (wills and inventories, etc.), Genealogies (published), Genealogies (informal) - family group records from relatives, etc., School Records, Photographs and so on. If anyone would like, I'll gladly send you the list or you most likely can get the book at your local library which is where I found it. So once I have the documents sorted by subject and by family name (a marriage license for KINGSTON and DUFFY would go with the man's family, just as most of us decide to do with family group records). After I'd done all this, as I say, that's where Clooz entered the picture. I refused to groan and put on my thinking cap. So here's my labeling system for those documents in Clooz: A GIRTEN Census record starts with the first four letters of the surname (filing name for the manual system) GIRT. Then I put the first three letters of the type of record: CEN. After that I use the Clooz system of three digits. Like this: GIRT CEN 001. All the LINDLEY records would start over: LIND CEN 001 and the like. I refrained from putting the state in the census label in Clooz, not because it was too long in theory, but because in the hub listing it didn't let me see the number I'd designated, and when I have to go back for some reason to compare the Clooz input with the paper document, it's a little more bulky and time-consuming to do so. (Besides, the state is listed in the directory listing.) Each of the documents is labeled themselves with the Clooz numbering system and then filed in the appropriate, color-coded and tabbed, location. There was one last problem I could see, and I *think* I've got that handled, too. Carmack had suggested an inventory list that you insert in each file as to what is contained therein. BUT under most research methods, as well as hers, you should keep a correspondence record as well. For now I've started a spreadsheet in Excel which lists the document by the Clooz control I.D. number, the surname that it's filed under (but that's proving unnecessary since my Clooz ID system shows it by the surname's first four letters -- if need be, I can apply a slight change to that system if I encounter names so similar as to create confusion if I hold unwaveringly to this system). The spreadsheet also lists the name of the person on the document, the date I've sent for it --and I change that to a "received" date when I'm successful in the request; the repository or person I'm communicating with or received it from, and then I have a column for "results" to note what I've achieved in the communication and what my future plan of action, if any, will or should be. I saw one form online somewhere that made a lot of sense when it had a column to show the *variations* of spellings searched under. More than once, already in my short span of time researching, I've wondered "gee, did I look under *that* spelling, too?" As Elizabeth says in her video, she's found Kelly spelled at least six different ways -- and from my court reporting experience I'm pretty sure she'll find more before she's through. <g> Anyway, as I say, I'm new to this but it looks to be a promising system. Although I didn't work with this type of document control in my court reporting work, it takes somewhat from those systems I have seen. And if any one of you has ever been intimately involved with a lawsuit (I'm so sorry.... <g>), you've most likely experienced the flood of paperwork that even smaller cases seem to generate in this day and age. I decided not to reinvent the wheel and to take advantage of the knowledge and experience of my clients and their staffs. They not only compile documents on one issue (like our family history) *but* just when they seem to get a handle on that situation, it's time to start compiling and organizing massive documents on another. I use only one database, a combination of mine and my husband's families becauseI doubt that I possess the mental gymnastics that would be necessary to remember which database was which, if I had more than one.... BUT I've been wondering -- if someone wants a file of work I've already done on a line (such as a relative of my husband's ancestors might want a GEDCOM of the people database), is there a way that I could export a selection of documents I have already put into Clooz? Especially now that Elizabeth's made that great video, I anticipate more and more people starting to use Clooz. We've all seen the list growing, and several people at our local FHC have asked me to bring my laptop and show them what it can do. I'm also planning on going to our local geneal. society's monthly meeting this week and will take my laptop there where I anticipate the subject will come up as well. Here's Arlene's message: When I started working with Clooz I set up 4 different databases and now think I would like to combine them into one. I have, for instance, several Family Reunion photos where there could be 30 or 40 surnames represented, or also in the case of a family shot, where there is a Mother,with her "birth" surname, the Father, with his surname, etc. Trying to clearly identify a photo or any document in the file# seems overly complicated. Use the CLOOZ reports. I use this same system for all my CLOOZ listings, i.e. a 2 or 3 letter category id and a 4 digit number....BTH0001, DTH0001, MAR0001 etc. The only exception is census where is use YYYYST0001 i.e. 1850NY0001. Lillian, So far, I've named our photos by surname or subject: For instance, I've got Blue 0001, Blue 0002, etc. for Blue Family photos, and Tomb 001, Tomb 002, etc. for Tombstone photos (if I had to do that again, I might place these under surnames as well). The photo detail screen has check boxes to indicate whether you have original, copy, negative, and/or digital version - so not sure it is necessary to keep negatives separate. In Liz's tape, she just names them Photo 0001, Photo 0002, etc Her point is keep it as simple as possible but it's really up to you. Not absolutely sure but last time I checked, you could have partial date but no way to put estimated or circa - you can put a comment in the remarks session indicating that. But give it a try - Clooz will let you know if it doesn't like it.     3. I just started using Clooz about 2-3 months ago. It has been working just fine. I have version 1.21 and received the update info for the patch, but have not downloaded it, yet. I opened CLOOZ this morning and my database selection was there on the hub. I chose to enter it and everything is gone. I am very upset. Can anyone out there help me or tell me how to get it back or is it gone forever? The name of my database still shows when I first enter CLOOZ, but after selecting there are no names, no census', no nothing! I would really appreciate anyone out there that might have some words of wisdom. I couldn't find anything in the manual that lists any kind of errors except on importing. Thanks again, J.     2. I have a LOT of pix and negatives, most with no labels/dates, that I want to begin to put into archival picture and negative sleeves. I am thinking of having a separate CLOOZ file just for photographs. Before I start this mammoth task I need help in deciding how to number my pix. I could use the same number for picture & negative by perhaps putting an "n" in front of the negative number. What I like most about CLOOZ for my documents is that I have several categories (i.e. VRs 0001, obit 0001, doc 0001, etc.) and can then just add the document as I pick it up without worrying about the date and then link the relevant people. I don't have access to CLOOZ as I write this and am not certain (1) how long an ID I can have for photos, (2) whether the date field can be partial or estimated with a c in front of it, and (3) what kind of reports I can do. All my Personal File #s indicate county, surname, or family depending on type of document. That way I don't have to switch over to the other database to see what number I should be using for the next marriage record etc. I've put my siblings and our descendants on my dad's database for convenience so I only have to record once. However I would use only one database if my mom had married a local man because there would be lots of overlap. Keren

    3. UNIX servers don't transmit Windows viruses. Rootsweb is on a UNIX server and the virus is a Windows virus. Also, it is impossible to send an attachment to a rootsweb list. If you doubt that then try it and watch what happens. They should have a book on what states took what kinds of censuses. The agricultural censuses here in MO were taken between the regular Federal Census ex. 1865, 1875 etc. Good luck in your research.
