As it appears a motion and vote is not necessary to use the EC membership list for project-wide communication, I hereby withdraw motion. Linda K. I request that the motion be recalled, as well as the second for same. Hence, please see the following: The subject motion is not necessary since "approval" has already occurred. See 1) http://usgenweb.org/volunteers/mail-lists.shtml Mail Lists for All Project Volunteers "USGENWEB-NATL" This Read-Only list of the USGenWeb Project is used to distribute periodic announcements to the membership of the USGenWeb Project. " 2) http://usgenweb.org/usgwelections/procedures.htm STANDING ELECTION SUBCOMMITTEE PROCEDURES IV. DUTIES of the Subcommittee: B. The EC shall be responsible for maintaining a Project wide Membership List. 2. Use of the Membership List: a. The Membership List may be used for broadcast mailings from time to time as necessary to notify the entire membership of items of interest to the whole membership. b. Other such uses as may be deemed necessary and appropriate by the Advisory Board or Election Committee. C. The Election Committee shall also be responsible for maintaining an up-to-date Registered Voter List: 2. The Registered Voter List shall be updated on a continuing basis through the following: b. Notification of the availability of registration through postings to all appropriate Project lists, **broadcast messages to the entire membership through the Membership List**, and by other means the EC shall deem necessary and helpful. d. Registrations shall be actively solicited during the spring. In March a letter will be sent to all the unregistered members of the USGW. In April and May both new and updated registrations shall be actively solicited from all USGW members. 3) http://usgenweb.org/usgwelections/ec-manual/text/ec-officer.txt EC Manual/Officer's Duties.txt TERMINOLOGY: Listserv: Listserv is located within the Dataset (Oversight) and is available for the sending of the newsletter, correspondence from the Election Committee and/or a message to individual members the National Coordinator. In using the term There are three options in using listserv: a. Listserve file "Standard" = This file will be used primarily to send out the USGW Newsletter. Members whose record is marked "No Mail" will not receive the newsletter. b. All members file = Primarily only the National Coordinator will use this file. c. Unregistered members file = During the first week of May a letter will be sent to all unregistered members inviting them to register to vote in the coming National Election. IOW, all that is required is the will to use what already exists ;) With respect to this matter, I am working with Larry Stephens to get the setup for the list. There are some kinks for him and I to get worked out and then to move forward with that mail list. Needless to say, this will not get finalized until after the beginning of the new term; however, we are now moving forward to get this completed and ready to go. Consequently, I request that Linda K. Lewis withdraw her motion, and that Joy Fisher withdraw her second. Thank you.
