Ann is seeking brochures that could be provided to attendees. I do not know the number of attendees, but she would like some brochures from at least the states that touch Florida, as that is from where many of their attendees might be coming from. I have not attended this conference in the past. I think it would be great if Alabama, Mississippi, Georgia, and North and South Carolina might be able to assist them. I don't know whether they would entertain receiving a pdf version and them printing them. I have already sent an email to the leadership in Florida to check into brochures that Florida may have available. *2017 NGS NATIONAL CONFERENCE, RALEIGH, NC* 2017 NGS NATIONAL CONFERENCE is coming up in the first half of May in Raleigh, NC. The plan is for me to travel to Raleigh, and I already have one volunteer and a place to stay. We could definitely use brochures from any state in our Project that would have some that they could send to us as well. I could arrange for you to send them directly to someone in Raleigh who is a USGW member so I would not have to transport them to Raleigh. If you have any that you would like to provide for the annual NGS Conference, we would greatly appreciate that. *USGENWEB PROJECT GRIEVANCE COMMITTEE* We are still seeking volunteers for the Grievance Committee. I sent out a request for additional volunteers. THANK YOU.] I know that many of your aren't interested in reading my long emails, however, I feel that this is important to convey to all of you. As many of you know, we have been scheduled to be a vendor at the upcoming NGS Conference in Fort Lauderdale, FL, May 4-7, 2016. I had planned to be there every day during the conference, but given my current health problem I am dealing with, I cannot be sure that I can be there, especially full time. When I asked NGS about a refund, they advised that they could only refund me $310 of our donor payment. I was then advised that refunds had to be requested prior to February 1. I explained that I did not receive my final current diagnosis until February 15th. This lady then said she would check with a director and let me know if they could do anything more. She called me back, and said no, they could only refund to me $310 to be returned to our donors. I then advised that had I been attempting to cancel just because of a conflict of the date, or some other reason, I would understand, and that I didn't feel it was fair to our supporters that they be punished for my health problem. I then went out on a limb and advised that given their resistance to assisting The USGenWeb Project at this time, and my disappointment in them, that as long as I was the National Coordinator, I wasn't going to be interested in giving them any of our business during any term I might be serving. (One never knows if they have enough pull to get a positive reaction by saying that, but I felt it was worth taking a chance, right.) She then asked if she could have one of the directors call me. I said sure, that would be fine, but that I was very disappointed in NGS. The person who called me back is the Executive Director of NGS. I explained my situation, and that I was still working trying to get enough volunteers to manage the booth because I am not confident that I can be there full time or at all depending on my doctor's schedule. So he offered to transfer both booths to the 2017 NGS Conference in Raleigh, NC. Seeing an opportunity here, I asked if he would be willing to refund one booth for this year, and transfer the second to Raleigh. He said he could do that. We then discussed that I hoped to be able to put together enough volunteers who will clearly make themselves available to assist with one booth this year, then could we keep one booth for this year and one for next year. He agreed to both of these requests. He will be calling me next week to see what we worked out from our membership. So, we need volunteers to assist with the both for USGenWeb. If you are coming for the conference, please step up to assist. If there is any possible way that I can be there, I will be as long as I am able to get there and am not still dealing with recovery and unable to participate. I really want to be there. If I'm just in pain, I may be there anyway. The goal right now is to put together a team of people to manage the booth for the period of the conference. Joy Fisher is most generally the person who has handled the booth in the past and I am still hoping that she will be attending. Joy has the banner for the booth and other supplies. If we can get a team together, we will reduce from 2 booths to one booth. Then, NGS will then transfer our second booth payment to the conference in 2017 at Raleigh, NC. If that conference occurs before the end of June (which it probably will), we will still be in our 20th anniversary year. So we could be celebrating our 20th Anniversary twice in a year. NATIONAL WEBSITE MAINTENANCE & WEBMASTER QUALIFICATIONS & DUTIES Section 1: The USGenWeb Advisory Board (AB) will appoint the webmaster and an assistant webmaster from the Project membership to maintain the USGenWeb National website. The webmaster and assistant serve as trusted technical assistants to the Advisory Board. In addition, one AB member will be appointed to work with and act as a liaison between the AB and the webmaster and assistant, to ensure the National site is in compliance with the Project by-laws and that the duties outlined in this document are fulfilled. The National Coordinator (NC) will also work with the webmaster and assistant to ensure that their responsibility for day-to-day operational management of the project site is fulfilled. Section 2: Selection of the Webmaster - The USGenWeb Advisory Board (AB) will issue a call the last two weeks of September for interested individuals to serve as the webmaster and assistant webmaster of the National site. >From this call, the newly seated AB will make their selections at the beginning of the term, at the same time the remainder of the appointments are made. The AB shall determine if those currently in place shall continue, or if one or more of the new respondees shall be selected. The qualifications for both positions are: (a) The individual must have been a member in good standing of the USGenWeb Project for a minimum of 6 months. (b) The individual must have a strong demonstrated knowledge of HTML, CSS (cascading style sheets), SSI (server side includes), and FTP software. (c) The individual must be able to devote approximately 8 to 24 hours per month to their duties as webmaster, spread out across the month. (d) The individual must respond to requests for updates in a timely manner. This is defined by responding to the request within 48 hours and completing the requested update within one week. These time limits do not apply if the webmaster and/or assistant have notified the board they will be unavailable for a period of time or if there are extenuating circumstances such as a natural disaster in the area where the webmaster and/or assistant reside. The second limit does not apply if the scope of the change is large and if the webmaster or assistant have notified the board that it will take longer. If the webmaster or assistant have notified the board it will take longer than the stated week, they must provide an expected completion date for the change. (e) Additional knowledge and/or skills such as php, databases and search engine optimization may be desirable but are not required. Section 3: Duties & Responsibilities of the Webmaster and Assistant Webmaster: (a) Makes website changes requested by the advisory board or the National Coordinator. Changes may include, but are not limited to adding additional or updated links, updating the identity of committee members and/or state SCs or ASCs and and formatting and posting of committee minutes. (b) Finding and correcting broken or erroneous links by running a link checker monthly. (c) Reviewing server logs for errors and taking any needed corrective action. (d) Keeping a log of all changes made to or other actions taken in regards to the National site. This log must be available for review by the AB members at all times. (e) Watching, reporting on and taking steps to improve the performance of the National site's performance. (f) Receiving reports on website problems from site visitors, pro-actively detecting problems that arise whenever practical and reporting the problems to the web host provider, either directly or through the designated process in place at the time, and work with their support organization to correct the problems. (g) Providing quarterly reports to the AB regarding the site and actions taken and changes made by the webmaster and/or assistant. (h) Notify the assistant/assistant webmaster, AB representative and NC if they will be unavailable for periods of more than 48 hours so that others can cover the duties and complete any necessary updates. Section 4: Responsibility of the NC or Designated Individual with Control Panel Access: (a) Provide the codes/passwords to the webmaster, assistant webmaster and the AB representative so the stated responsibilities can be carried out. (b) If the webmaster and assistant don't have direct access to site error logs, do whatever is required to make them available to the webmaster and assistant so that their duties can be carried out. (c) If the webmaster and assistant don't have direct access to the support organization of the webhosting service, serve as the interface to report problems to the web hosting service and in working with their support organization to correct them. Section 5: General Requirements: (a) The financial information of the account holder must be protected at all times. (b) The website must be designed such that it is portable between web hosting services in the event that a move is necessary or desirable. (c) The ability to hand code a site in HTML format is not necessary. Pages may be created using website designing software, but the software must not be specific to the web host, causing the transfer of the site to be impossible, nor should the software insert scripts that are not portable between web design applications. (d) The webmaster and/or assistant webmaster may be replaced for failure to comply with Sections 2 and 3, above. (e) The webmaster and assistant webmaster will only be granted ftp access to those portions of the National site for which the Advisory Board have assigned them responsibility.
