Hi Folks, This was suggested by Linda on the Mailing List and it's such a good idea that I'm going to be generous and give you a chance to help out! <vbg> This is a VERY simple task and if a few people put there hands up we can really make a dent in this project - as each Annual Report is completed, it can be added to the Potpourri Database and hence each entry can be found by the global "Search this site" search box on the Geelong & District web site as well as in the full Potpourri files. PROCEDURE 1. Let me know which year you are going to index - I might put a list on the website so people know which ones are "in progress" or done. 2. The index file should include the YEAR of the Annual Report and the file should include just 2 columns - Column 1 = name / subject; Column 2 = page number (s) 3. The file can be any format that allows columns - i.e. a 2 column table in Word, a spreadsheet, database etc. I use MS Office but can generally convert most formats - if not you could save it as a tab delimited text file or similar. 4. Ideally names should be in the format of SURNAME, Christian name / initials then Title i.e. Dr W R Lang would be entered as LANG, W R Dr So Surnames in CAPITALS Avoid ALL punctuation except for the comma after the surname or as a "sub item" The index shouldn't be limited to subscribers' names - any subject of interest should be included - names of new buildings, places etc. 5. Have a look at .... http://zades.com.au/gandd/index.php/databases/gdbooks/gdbooks for examples - the same procedure used for the G&D Consolidated Book index should be used for the Annual Reports. 6. Email the file to me - if you want to do a few entries and then email it to me for comments / suggestions and to make sure I can read your file, that's fine. 7. And it's that easy! So put your hand up and say ... I'll index Geelong Hospital Annual Report 1865 or whatever year you choose - just wait for a reply to confirm that no-one else has started that year.
